The selected colleague will work at an MUFG office or client sites four days per week and work remotely one day. A member of our recruitment team will provide more details.Job Summary:
The Administrative Assistant will support the Head of Planning in implementing corporate planning and assist in all internal control matters, including information security, audit, operation, regulatory, and compliance-related tasks. The role involves creating materials and communicating with relevant parties both in the US and other regions, including Japan. Responsibilities also include calendar management for executives, arranging meetings and business trips, client entertainments, and staff meals, as well as supporting expense reports.
Major Responsibilities:
Administrative Supports
- Performs high level of administrative duties for Head of Planning and Sr Leaders as follows:
- Manage calendars, arrange meetings and business trips.
- Process expense, create memos for payment of expenses, office leases, internal control & security matters, and generate internal reports
- Arrange meetings, lunch and dinner within the organization including Head Office Executives and counterparts.
- Assist Sr Executives in logistics, travel, transportation and others while visiting the US.
- Support onboarding and offboarding administrative tasks for team members including network and system access
Liaison Supports
- As liaison of Tokyo Head Office in the U.S., collaborate with board secretaries and Head Office Corporate Planning Division and secretaries of Head Office Executives.
- Performs other duties as assigned by Head of Planning to support the team
- Escalate issues that require management's attention to mitigate execution risks of the above tasks.
Qualifications:
- Bachelor degree or equivalent is required
- At least 3 years of Administrative Assistant experience in large Japanese corporation is required
- 3+ years of work experience in finance industry especially banking sector in Japan is preferred
- Ability to comprehend and comply with MUFG policies and guidelines
- Advanced knowledge of business software utilized by division such as MS Excel, Word, PowerPoint and Access
- Able to multi-task and manage deadlines under pressure
- Excellent communication skills (verbal and written) in Japanese and English is required
- Detail oriented and organized
The typical base pay range for this role is between $35 per hour - $46 per hour depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
