About the role

Brown and Caldwell is seeking an analytical and organized executive assistant to work with the East Business Unit. The ideal candidate is a positive, self-motivated individual who enjoys multi-tasking and working in a fast-paced environment. This individual will directly support the Senior Vice President of the East Business Unit. This individual will also indirectly support the broader East Business Unit and will have the immediate opportunity for routine interaction with various business groups and leaders within the company. Depending on performance, future opportunities to expand this role within the East Business Unit may be presented. This position will report to the SVP of the East Business Unit.

*This role can be conducted virtually from home part of the time with a strong preference for a presence in the eastern US, and will require up to 20% travel. This position is full-time (40 hours per week).

Detailed Description:

In this position, you’ll partner with the team leading Brown and Caldwell’s operations in the East Business Unit. The team is looking for a strong partner who:

What you will do:

  • Coordinate and compose the preparation of reports, spreadsheets, agendas, meeting minutes, presentations and other complex and sometimes time sensitive documents
  • Assist with meeting and call scheduling, agenda development, meeting notes and action- item tracking
  • Schedule and maintain daily and long-term calendars for both internal and external meetings including agenda development, meeting notes, and action tracking
  • Manage travel itineraries and coordinate related arrangements
  • Perform a wide variety of administrative duties, and assist with special projects as required
  • Assist with preparing monthly and quarterly performance reports for company leadership
  • Assist with team’s ability to keep information current, including training and awareness through various channels
  • Directly support a fun, entrepreneurial, humble, thoughtful, action-oriented, business-minded leadership team

  • The ideal candidate has experience with the following:
    • Acting as the gatekeeper for a senior executive

Desired Skills and Experience:

  • Four-year degree (Business or Communications degrees highly preferred) and 3+ years administrative executive experience supporting a Department/Division Leader or Senior VP or equivalent combination of education and experience ideally in a similar setting or industry.
  • Excellent verbal and written communication skills
  • Demonstrated good judgment and sense of diplomacy
  • Ability to maintain confidentiality of sensitive business and personal matters
  • Outstanding interpersonal skill
