Position Summary: The overall purpose of this job is to plan, organize, direct, and evaluate the activities of Event Services. Event Services manages a centralized box office for ticketed campus events for both campus and non-college entities and provides accurate and timely billing information to the various parties involved. This position includes responsibility for budgeting, staffing, evaluating personnel, collaboration with rentals, facilities, and security services, and developing and implementing short- and long-term strategic goals for all components included in the unit.

Essential Functions:

35% Supervise the activities of the Event Services department, which includes logistical coordination of the use of campus facilities by internal and external clients and the technical and functional support for events held in those facilities. Responsible for budgeting, hiring, scheduling and evaluating personnel, and developing and implementing short- and long-term strategic goals for all components included in the department. Supervise digital signage to market announcements and events. Supervise front of house and centralized box office management, including web advertisement, ticket sales and distribution, and merchandise. Responsible for ensuring functionality for events as scheduled at all campuses. Provide accurate and timely billing information to ensure that funds are accounted for and credited to the appropriate departments.

30% Provide system administration of the 25Live Scheduling Database (PSCC’s primary mechanism of reserving locations, resources, and services) and chief guidance of its usage on campus. Responsibilities include creating/modifying security credentials and all reservable items within the database and ensuring that the software correctly interprets and enforces existing PSCC usage policies. Create assignment policy within system, designating key PSCC employees as “gatekeepers” for reservable components. Compile, analyze, and report historical information to make data-informed decisions on future facility usage and staffing requirements, as well as assists other departments with similar activities. Train PSCC employees on use of software and provide functional and technical support.

25% Working in collaboration with Event Tech Supervisor, consult with internal and external clients in production management. Consultation in lighting, sound, media, and staffing requirements to stage events including New Student Orientation, faculty lecture series, student rehearsals, other lectures, musicals, plays, large meetings, and recitals. Planning could include attendance at meetings and rehearsals to determine needs.

5% Oversee equipment maintenance and schedule all major system and component maintenance and fabrication. Make regular expenditures with allotted budget.

5% Lead committees/special projects as assigned by the President’s and the Vice President of External Affairs’ offices.

Job Requirements: 

  • Bachelor’s degree in business administration, performing arts administration, event/hospitality management, public relations, communications, or another related field is required.
  • Five years’ full-time progressive work experience in operational/technical/logistics planning for events or performing arts with at least two years’ experience in a management or supervisory role is required.

Multidisciplinary work experience (e.g. sales, communication, public relations, analytics, finance, hospitality management, HR) is beneficial.
