Responsibilities

Draper is seeking a Property Control Assistant to become part of a team that exhibits creativity, energy and embraces challenges to help drive change. This position is heavily focused on the administration of Draper’s asset tagging process for internal, as well as government property to include maintenance of the property database. Responsibilities include frequent interface with internal customers and working closely with property personnel and end users  to effectively and efficiently assess, document. and tag incoming property.  Applicant must possess excellent problem-solving skills, communication skills and the ability to understand and implement customer property requirements in a manner which fully supports compliance and various government audits.   

 

Responsibilities:

 

  • Responsible for creating new asset records (sponsored and corporate) and applying asset tags to newly purchased or shipped equipment for multiple Draper campuses.
  • Responsible for maintaining and ensuring a clean and safe work environment.
  • Responsible for continuous review and monitoring of all newly created property records for accuracy and timely completion.
  • Maintains complete accountability of all government property from receipt to final issuance to the requisitioner.
  • Responsible for the physical application of the system assigned property number tag on all new equipment.
  • Responsible for ensuring tags are applied correctly, in a timely manner in accordance with the Draper Property Office Procedures and are properly recorded into the Asset Management system.
  • Support and lead meeting and email requests to review equipment, data, future purchases and provide advice to end-users for correct property identification and process.
  • Responsible for assessing all assets before issuing a tag by verifying the item category, profile ID correct business unit and price accuracy.
  • Responsible for identifying, reporting and resolving discrepancies related to cost and working with accounts payable and other functional areas to resolve issues.
  • Timely coordination with custodians at other Draper campuses to ensure the property documentation is received and tagging process is completed.
  • Coordinates with procurement on a regular basis to make any necessary adjustments to properly receive incoming assets.
  • Monitors end-user process compliance and provides guidance and training when necessary. Works with management to resolve issues.   
  • Acquisition verification/reconciliation to include the evaluation and comparison of incoming equipment against Purchase Orders, packing slips and DD Form 1149’s.
  • Responsible for the identification, reconciliation and reporting of all discrepancies incident to shipments.
  • Works closely with the internal calibration team to ensure proper care and maintenance of newly purchased or incoming equipment.
