Description

Overview
Under the supervision of the Director of Online Giving and Membership and the Manager of Membership, the Associate Manager of Membership Events leads the planning, coordination, and execution of a robust calendar of membership events for the Friends of the Library, Schomburg Society, and Friends of the Library for the Performing Arts (FLPA). This role emphasizes event strategy, logistics, and on-site execution while maintaining a strong focus on member experience, services, and benefit fulfillment.

The Associate Manager of Membership Events works closely with colleagues in Development, Special Events, Public Programs, Research Libraries, Communications, Creative Services, and Digital to ensure events and benefits are well-planned, well-executed, and aligned with institutional goals.

Some expectations for this role are that within:

1 month, this person will:
  • Be familiar with all three membership programs, associated benefits, and event offerings
  • Understand existing event workflows, calendars, and cross-departmental partnerships
3 months, this person will:
  • Independently manage logistics and on-site execution for member events
  • Confidently support members before, during, and after events
  • Provide feedback on and implement updates to standards for event communications, guest management, and inbox processes
6 months and beyond, this person will:
  • Review and refine membership event benefits, identifying opportunities to enhance value and address fulfillment gaps
  • Identify and execute at least one event-based or event-adjacent project to increase revenue or donor retention for the following fiscal year
  • Exercise independent decision-making and implement directives with minimal to no supervision
Responsibilities
  • Plan, manage, and execute a calendar of at least 15-20 membership events annually, including coordination of timelines, run of show, staffing, and day-of operations
  • Develop and manage event guest lists, invitations, RSVPs, and check-in processes
  • Collaborate with Special Events, Public Programs, and Research Libraries to design and deliver meaningful event benefits for Friends of the Library, the Schomburg Society, and FLPA member
  • Provide on-site leadership at membership events, including overseeing volunteers and staff
  • Coordinate with outside vendors and internal departments to fulfill event-related and non-event membership benefit
  • Identify and execute initiatives that increase event attendance, revenue, and member retention
  • Work with Development Operations and Online Giving teams on event promotion and inclusion in membership newsletters
  • Stay current on event, membership, and stewardship best practices and recommend improvements
  • Perform related duties as required

Required Education, Experience & Skills

Required Education & Certifications
Bachelor’s Degree 
Required Experience
2-5 years of relevant experience in event planning, membership programs, hospitality, or customer service
Required Skills
  • Strong event and project management skills; ability to manage multiple events, deadlines, and stakeholders simultaneously
  • Excellent written and interpersonal communication skills
  • Strong organizational skills and attention to detail, particularly around schedules, guest lists, and logistics
  • Proficiency in Google Suite, MS Word, and Excel
  • Ability to interact effectively with all levels of staff and the public, and exercise sound judgment
  • Familiarity with Raiser’s Edge or similar CRM/database systems preferred
