Job Description
This is part-time position at 20 hours per week.
The essential function of the position within the organization is to provide clerical and/or data entry support. The position is responsible for office tasks of moderate responsibility. The position works under close to general supervision according to office procedures.


Examples of Work
•    Provides administrative support to assigned unit. Answers telephones; provides information; directs callers to appropriate personnel or department; or takes and relays messages.
•    Serves as receptionist; greets visitors and establishes purpose of visit; and provides information or directs visitor to appropriate personnel or department.
•    Performs clerical tasks such as typing and processing documents, including letters, agreements, or memoranda; processing and distributing mail; preparing paperwork for meetings; preparing routine reports; performing data entry; maintaining calendars or file/record systems; shredding; or faxing.
•    Performs a high volume of data entry using programs with standard formatting and consistently formatted source documents.
•    Receives, arranges, and posts court dockets provided by judicial assistants on trials being heard by the judges; assists in ensuring proper setup of courtrooms for session.
•    Signs materials in and out, processes monies received, gathers data for special reports, processes clerk’s orders, and/or assists with special projects as directed.
•    Prepares envelopes, makes photocopies of reports/orders, and stamps and stuffs envelopes for mailing to parties.
•    Compiles and verifies information to create and maintain cases for court referrals and updates computer database as necessary.
•    Assists with set up for court related functions and events.
•    Attends staff meetings to exchange information and/or to take minutes; transcribes minutes and distributes to appropriate personnel.
•    Attends technical or professional classes, workshops, or seminars to improve technical or professional skills.

 

Education and Training Guidelines
-High school diploma or GED and an additional six months of college or vocational school education in office skills, computer operations or closely related field.

-Knowledge of relevant software applications including MS Office; proficient in use of email and internet; accurate keyboard skills; knowledge of office management systems and procedures; and knowledge of administrative procedures.

Special Comments
*This Other Personal Services (OPS) employment is paid hourly and works 20 hours per week, except for holidays.  OPS/Variable hour employees may be eligible for insurance coverage. There is no paid holiday, sick, or vacation time.

 

The Florida State Courts System is a criminal justice agency.  The successful applicant will be fingerprinted for the purpose of conducting a criminal history record check.  Employment in this position is contingent upon a satisfactory criminal background check.
