OCCUPATIONAL SUMMARY

 

Plan, coordinate and administer activities within the School of Medicine Office for Faculty. The Office for Faculty is a hub for faculty services including professional development; appointments, promotion, and tenure; professionalism support; leadership development; and mentoring. This position will primarily support faculty development. The ideal candidate for this position will have strong problem solving, communication, organizational and computer skills, and will work well both independently and as part of a team. The Senior Program Coordinator will play an important role in helping us achieve our mission to advance and inspire growth, excellence and community among the faculty of Duke. This position will be hybrid-remote. Ability to work in-person for programs and events will be required.

 

WORK PERFORMED

 

Faculty Development Programs

 

  • Provide strong and effective management for faculty development programs in the School of Medicine Office for Faculty. Examples of functions include longitudinal leadership development programs, lectures, workshops, external guest speaker visits, and networking events.
  • Make operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives; develop and coordinate standard operating procedures for program management and ensure other staff are trained in these procedures.
  • Arrange rooms, catering, AV, setup, and other logistics. Must be able to physically arrange room furnishings for event set up, lift up to 20 pounds, order and set-up catering for events, arrange AV and other logistics as needed to ensure successful in person programs and events.
  • Serve as the primary support person for on-site and Zoom programs and events. Independently anticipate potential problems that might have negative impact on events and propose solutions.
  • Work directly with Associate Dean for Faculty Development and the Director of Educational Programs to identify faculty needs, plan curriculum, and set session agendas and learning objectives.
  • Draft and disseminate program communications, solicit applications, organize selection committees and utilize confidential systems for ranking applicants.
  • Maintain clear and accurate records of program applications and participation. Train junior program coordinator in systems for tracking these records.
  • Communicate directly with faculty regarding program participation, answer questions and resolve concerns with sound judgement.
  • Monitor participant progress on course assessments, identifying and resolving problems independently. Must understand and abide by policies related to confidentiality.
  • Draft and submit CME applications. Train and support junior staff member in monitoring disclosures and finalizing credits.
  • Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness.
  • Draft reports on program progress. Develop and coordinate new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components.
