About the Role:
we are seeking a highly motivated Sales Operations Specialist to join our team at Trace3! As a Sales Operations Specialist, you will be responsible for managing sales orders for assigned regions, including creating and reviewing purchase orders, reconciling, auditing, and fulfilling hardware, software, support, and virtual items. You will work closely with outside vendors and internal teams to develop relationships, operational efficiencies, and drive sales.
What You’ll Do:
- Manage the sales orders cycle for assigned regions.
- Collaborate with regional teams to develop a solid understanding of their business and recommend solutions for efficiency.
- Provide guidance to internal teams on resolving variances.
- Enforce purchasing standard operating procedures and policies.
- Ensure the purchasing process is executed correctly to minimize liability to the company.
- Coordinate with sales team to ensure proper classification of each item attribute.
- Review orders for accuracy regarding shipping, PO, price, etc.
- Process drop-ship, special order, and inventory/warehouse orders.
- Work with the inventory team to ensure backordered inventory is sourced and purchased.
- Create billing schedules for installment orders to ensure correct invoicing.
- Track product-related line items and complete weekly follow-up with vendors for unfulfilled items.
- Fulfill item requests based on vendor bills, physical/electronic confirmations, license keys, and support contracts.
- Request, track, and fulfill return authorizations.
- Problem-solve discrepancies and provide recommended solutions.
Qualifications & Interests:
- 3+ years of related work experience in sales operations or operations role.
- Strong internal controls knowledge and experience with process/procedure implementation.
- Strong Microsoft Excel skills.
- Experience with ERP systems; NetSuite preferred.
- Excellent interpersonal communication skills for interacting with employees, vendors, and clients.
- Highly organized, detail-oriented, excellent time management skills, and able to prioritize tasks effectively in a fast-paced, high-volume, and evolving work environment.
- Ability to approach customer and sales requests proactively and consultatively, listen and understand user requests/needs, and effectively deliver.
- Comfortable managing multiple and changing priorities, and meeting deadlines in an entrepreneurial environment.
