Agency Description
The Health and Human Services Cabinet (HHS) is comprised of the Department of Behavioral Health and Intellectual disabilities (DBHIDS), Office of Community Empowerment and Opportunity (CEO), Office of Homeless Services, Department of Human Services (DHS), and Department of Public Health (PDPH). In
addition, HHS manages the Mayor’s Commission on Services to the Aging (MCOA), a Data Management Office and an Audit Unit. The mission of the Cabinet is to ensure the health and wellbeing, safety, and appropriate supports for all Philadelphians, particularly the most vulnerable children and adults.
The Mayor’s Commission on Services to the Aging (MCOA) works to improve the quality of life for older adults and manages efforts to create a comprehensive approach for the City to address the needs of Philadelphians ages 55 years and older. In addition, MCOA operates the following programs:
Senior Community Service Employment Program- Income eligible Philadelphians receive on-the-job training, earning a stipend to promote workforce re-entry. Participants are placed with non-profits and within City of Philadelphia departments for training to gain the new skills necessary for 21st century jobs.
Job Description
This is administrative staff work performing a variety of assignments. The Administrative Assistant serves in a liaison capacity between the Directors and Staff. Assignments require familiarity with the functions of MCOA. Work is performed under the supervision of the department directors.
Essential Functions
- Responsible is to provide support to the Agency Directors and other staff as assigned; perform a variety of clerical and administrative duties; prepare special reports, maintain files, office supplies, make travel arrangements, etc. as required.
- Provide premier customer service by serving as the initial point of contact for the Mayor’s Commission on Aging inquiries from both internal and external clients.
- Request and gather information, research answers and solutions, and escalate inquiries to the appropriate person when appropriate.
- Display a positive attitude and high level of willingness and friendliness.
- Investigates specific administrative issues highlighted by staff, the public and other interested parties.
- Assist participants with additional activities that support program objectives, such as resume writing and managing online programs.
Work-Life
Working hours are generally 37.5 hours per week. Our team is currently hybrid with both virtual and in-office days, however the position can opt to come in the office each day if desired.
Qualifications
- Bachelor’s degree in business administration or a related field, preferred.
- Incumbent must have three (3) years or more of experience in the business administration or a related field or a combination of education and experience, which includes employment and workforce development.
- Valid PA Driver’s License, preferred.
