The Cash Application Specialist - Unapplied Cash is an integral member of the FinOps team at Smartsheet. General responsibilities include the daily processing of customer payments, cash applications, and bank reconciliations. Additionally, the Cash Application Specialist is responsible for resolving unapplied and unidentified customer payments that require additional research. These activities include working directly with the Bank, and Customers to troubleshoot and resolve payment discrepancies. 

You will report to our Cash Applications Supervisor located in Costa Rica, and the role is remote-eligible.  The cash application team includes teammates in both Costa Rica and the US.

You Will:

  • Specialize in resolving and posting all ”Unidentified Customer Payments”. Research payments using  Bank Portals, Remittance Advice or Bank contacts  to obtain the correct client account. 
  • Responsible for posting “Unapplied Payments” to the correct invoice(s). Perform client outreach to obtain remittance advice, or confirmation of invoice(s) to apply payment to. 
  • Use appropriate communication techniques and the unapplied cash procedure to ensure payments are applied within 24 hours. 
  • Perform client outreach to secure client bank details for refunds utilizing RPA and Salesforce. 
  • Process requests for Journal Entries to enter debit and credits as needed for moving monies between customer accounts. 
  • Escalate critical unapplied issues (based on dollar value and client type).
  • Collaborate internally and externally to resolve complex cash application discrepancies. 
  • Report Unapplied Cash Activities to the FinOps team and the Director of FinOps. 
  • Work closely with the Bank and AR Analyst to ensure accurate posting of unapplied payments. Forward copies of incorrect payments to AR Representative. 
  • Assist with the development and maintenance of policy and procedure.
  • Ensure daily cash receipts are applied to customer accounts accurately and timely.
  • Process and post customer payments, including lockbox feeds, ACH, Wires, and Bank Deposits.
  • Perform daily bank reconciliations to balance and close cash batches.
  • Assist with month-end closing tasks.

You Have:

  • 3+ years of accounts receivable, cash applications, billing, or collections experience.
  • Understanding of basic accounting principles.
  • Reporting Skills creating, monitoring and analysis.
  • Prior NetSuite, Celigo, and Deduction Management software experience is preferred.
  • Strong sense of ownership and accountability 
  • Excellent business etiquette and verbal, written, and interpersonal skills.
  • Strong organizational skills and attention to detail.
