Job Description:
Salary Range: $42,400 - $52,000 per year; DOE
The Office of Academic and Career Success seeks a collaborative, student-centered Academic Operations Support Specialist who is passionate about supporting student success through exceptional service, operational excellence, and coordinated support. This role serves as a critical member of a pathway-based student success team and helps ensure students receive timely, accurate, and responsive support throughout their educational journey. The Academic Operations Support Specialist provides operational, administrative, and front-line student support across undergraduate and graduate programs. Working within an integrated student success model, this role supports advising, enrollment, student success, career development, and placement-related functions while helping students navigate university systems, processes, deadlines, and next steps.
The Academic Operations Support Specialist serves as an important connection point between students and the various resources available to support their success. Through communication, workflow coordination, outreach support, event coordination, and data management, this role contributes to a seamless student experience and helps ensure pathway teams operate efficiently and effectively. Successful candidates demonstrate strong organizational skills, attention to detail, customer service excellence, adaptability, and a commitment to supporting students and colleagues in a collaborative, fast-paced environment. They understand the important role operational coordination plays in student success and are dedicated to creating positive experiences for students at every stage of the learner journey.
Essential Duties:
- Serve as an initial point of contact for students through phone, email, virtual, and in-person interactions.
- Provide timely, accurate, and student-centered support regarding university processes, deadlines, registration, onboarding, progression milestones, and academic pathway information.
- Manage and triage shared communication channels, including Salesforce case queues, email inboxes, and operational requests.
- Route student inquiries and concerns to appropriate advisors, care coordinators, career services staff, enrollment personnel, faculty, and university resources.
- Support operational workflows related to advising, enrollment, student success, career development, and field experiences.
- Maintain accurate student records, documentation, tracking systems, and operational data.
- Assist with reporting, data management, student tracking, and operational monitoring activities.
- Support student outreach efforts related to enrollment, registration, onboarding, persistence, progression, graduation, and student success initiatives.
- Coordinate logistics for student-facing events, workshops, orientations, webinars, trainings, and engagement activities.
- Schedule meetings, manage calendars, and support pathway team operational coordination.
- Prepare communications, materials, resources, and documentation to support student success initiatives and team operations.
- Collaborate with advisors, care coordinators, faculty, career services staff, enrollment personnel, and pathway leadership to support coordinated student services.
- Identify opportunities to improve operational processes, workflow efficiency, and student experiences.
- Promote a culture of accountability, collaboration, innovation, authenticity, and care in all interactions.
Desired Qualifications:
- Experience providing customer service, student support, administrative support, or operational coordination in a higher education or service-oriented environment.
- Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience utilizing technology platforms such as Salesforce, PeopleSoft, CRM systems, or related technologies.
- Strong organizational skills and attention to detail.
- Experience coordinating events, meetings, communications, or operational processes.
