Job Summary:
Vista Care is rapidly expanding, so we’re looking for a dedicated HR Coordinator to help us welcome new hires into the team and provide them a great experience from the moment an offer is extended until they are fully integrated with Vista Care!

Job Type: Full-Time (40+ hours per week)
Reports To: Director of Employee Relations
Location: Sheboygan, WI

Job Responsibilities:

  • Welcoming newly hired employees and executing the engagement plan throughout the onboarding journey; managing the end-to-end onboarding process, ensuring a great experience for new employees and a smooth start into their roles.
  • Crafting and sending communication with information about Vista Care, the onboarding agenda, equipment, dress code, parking options, perks  and other organization information.
  • Ensuring new hires have the proper technical assistance to properly set up in all Vista Care systems, including but not limited to Paycor, Therap and Relias. 
  • Distribute policies, passwords, and guidelines, as needed.
  • Detailing all new hires' initial tasks and answering any queries.
  • Gathering and filing all paperwork related to new hires, including, but not limited to: offer letters, background check authorization forms and non-disclosure agreements.
  • Coordinating onboarding presentations with the Learning Leaders.
  • Auditing data and setting up employee profiles in internal HR systems (Paycor, Relias, Therap); assisting with the coordination, preparation, and distribution of employee documentation.
  • Aligning new employees with managers and their team and communicating involvement procedures to all stakeholders.
  • Serving as the primary point of contact for hiring managers and newly hired employees.
  • Providing reporting to the Director of Employee Relations.
  • Prioritizing and managing workload to meet critical deadlines.
  • Acting as a subject matter expert and making recommendations on how to improve process efficiency.
  • Ensuring compliance with all processes and maintaining a high level of confidentiality at all times.
  • Challenge the status quo and proactively identifying process improvements.
  • Identifying innovative and creative new ways to onboard new employees/reach a more scalable and measurable onboarding experience.
  • Serves as Administrative Support for the Recruitment Department including entering all expenses by the Team into Nexonia, handling receipts and tackling transactions.
  • Orders job supplies as authorized by the Talent Acquisition Manager and Director of Human Resources.
  • Ensures that background checks are completed in accordance with Federal, State and Local laws.
  • Ensures that the personnel files for all new hires are completed in a timely manner and in compliance with all state, local and industry requirements.
  • Prepares for any audits by state authorities and/or funders.
  • Performs other duties as assigned by Leadership.

Requirements

  • Bachelor’s Degree or Equivalent in Human Resources or a similar field preferred.
  • 1-3 years experience within Human Resources, Recruiting and/or Employee Onboarding preferred.
  • Ability to work successfully and professionally with all levels of employees and management.
  • Ability to understand basic technical concepts and explain them in simple terms.
