Job Description
The role provides direct administrative support for the head of Global Investor Relations at Visa as well as general assistance to other team members. This position handles details of a highly confidential and critical nature and requires a broad working knowledge of departmental and company policies and practices.
This role is an individual contributor with a primary focus on execution. This position is at a developing professional level and solves a range of straightforward problems and analyzes possible solutions using standard procedures. This position receives a moderate level of guidance and supervision.
- Efficiently manage the inbox for senior executive and Investor Relations group.
- Coordinate and manage executive schedules, including arranging thousands of complex meetings annually, both internally and externally. This includes relationships with thousands of investors and 40 sell-side analysts. In addition to scheduling meetings, this means anticipating and prioritizing scheduling needs based on deadlines and deliverables. This will require coordination with the office of the CEO, CFO and other Visa leaders and stakeholders.
- Serve as a liaison between client executives and internal teams.
- Coordinate high-level external and complex global meetings. Engagement types include quarterly earnings-related tasks, conferences, non-deal roadshows, internal prep and external investor calls and meetings, and any special projects (as requested).
- Manage administrative processes such as Travel & Expense (T&E) and purchasing for large, global organizations.
- Oversee budgeting, expense reporting, and financial recordkeeping.
- Perform administrative support duties, including but not limited to drafting and typing correspondence, proofreading and formatting business documents or broad communications, making copies and preparing them for signatures, directing inquiries to the proper party within the team, and maintaining and ordering office supplies
- Assist in the preparation of executive-level reports and presentations, leveraging advanced technology skills.
- Maintain a high level of detail and organization to prevent enterprise-level errors.
- Regularly interface and liaise with client executives.
- Frequently interact with senior executives and all organizational levels, requiring a high degree of independence and empathy.
- Exercise the ability to redirect or push back on behalf of the executive while maintaining positive rapport and professionalism.
- Independently manage complex tasks, proactively identify and resolve issues, and plan ahead to ensure smooth operations.
- Provide dedicated support to senior executives, specifically supporting s Senior Vice President (SVP).
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership and site), with a general guidepost of being in the office 50% or more of the time based on business needs.
Qualifications
Basic Qualifications
2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)
Preferred Qualifications
3 or more years of work experience with a Bachelor’s Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)
Expert level proficiency in the following
- Expert proficiency on all Microsoft products including Excel, PowerPoint, Word and Outlook.
- Must have experience in supporting executives in a fast-paced and demanding work environment
- Demonstrated professionalism and discretion and experience in working with highly confidential information
- Can-do attitude. must be proactive and solution oriented, looking for ways to add value and assist the team
- Demonstrated ability to multi-task, respond to needs quickly and efficiently and prioritize work with a strong attention to detail
- Must be a self-starter and able to work with little or no supervision
