The Graduate Coordinator, Center for Leadership & Community Connection (Project Management & Registered Student Organizations (RSOs) Logistics) plays a key role in supporting the operations and success of RSO's at Mount St. Mary’s University. This position is responsible for managing key projects, coordinating events and administrative logistics, and supporting the marketing efforts related to RSO activities and student involvement. The ideal candidate will bring strong organizational and communication skills, along with a proactive, detail-oriented mindset.Essential Duties and Responsibilities:
RSO Oversight & Support:
- Serve as the primary liaison between the Center for Leadership & Community Connection and Registered Student Organization leadership and advisors
- Develop and implement an event planning checklist and approval sheet for RSO events
- Monitor RSO compliance with all university policies and procedures.
- Maintain regular contact with student leaders to develop responsible decision-making, assess student interests, respond to student needs, assist in event planning, and anticipate student programming/leadership issues.
RSO Logistics & Administrative Support:
- Oversee and maintain the student engagement platform (e.g., Presence, Engage, or similar) to ensure RSO information, events, and documents are up to date.
- Facilitate communication between RSOs and university departments regarding space reservations, event approvals, risk management, and funding requests.
- Assist student leaders with navigating university procedures related to budgeting, event reservations, and purchasing.
- Work collaboratively with staff in Student Life to keep the university website up to date with appropriate student organization lists.
- Directly responsible for submitting the reservation for event spaces on campus for programs and events sponsored by RSOs.
Project & Operations Management:
- Lead and manage projects related to developing and implementing systems, resources, and initiatives that support RSO operations.
- Track progress and deadlines for ongoing initiatives, including RSO registration, training, and compliance.
- Coordinate logistics for large-scale RSO events such as involvement fairs, training workshops, and recognition ceremonies.
Marketing & Communications:
- Support developing and implementing marketing campaigns that promote RSO involvement opportunities, events, and engagement resources.
- Create and distribute digital content, including newsletters, social media posts, and promotional materials for RSO-related events.
- Approve all marketing pieces to be displayed in the McGowan Center
Job Requirements: Education, Experience and Skills:
- Must be enrolled in a graduate degree program at Mount St. Mary’s University, preferably in Higher Education, Business, Communications, Public Administration, or a related field.
- Strong project management, time management, and organizational skills.
- Excellent written and verbal communication abilities.
- Experience with student organizations, event coordination, or marketing is preferred.
- Familiarity with graphic design tools (e.g., Canva, Adobe Creative Suite) and student engagement platforms is a plus.
- Ability to work collaboratively in a fast-paced, student-centered environment.
Preferred Knowledge, Skills & Abilities:
- Ability to deliver training presentations and programs.
- Ability to work collaboratively and build strategic relations with colleagues, coworkers, constituents, and volunteers.
- Ability to interact professionally with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
- Experience with Workday, Microsoft Office, and/or student engagement software.
Salary/Benefits
- A stipend of $10,200
- Part Time / 20 hours per week for 12 months.
- Some evening and weekend hours may be required based on event schedules.
