POSITION SUMMARY:
This position is in the Criminal Justice Information Services division. This is a full-time position that is responsible for providing varied administrative assistance to the Chief of Compliance and Education. This position requires the ability to maintain a thorough knowledge of department programs and services to assist department customers in monitoring assignments and deadlines. The position also requires excellent facilitation and customer service skills.
DUTIES & RESPONSIBILITIES:
Specific duties include:
- Providing administrative support to the Bureau Chief, section supervisors and staff;
- Providing customer support, answering and screening incoming phone calls and routing them to appropriate staff;
- Reviewing and preparing drafts of memoranda and correspondence for administrative decisions and policies for the members of the CEB, consistent with Department Policies and Procedures;
- Compiling and analyzing data as requested and presenting recommendations in logical formats to aid supervisors in decision making;
- Researching and completing travel arrangements, including acquisition of hotel accommodations, commercial air flights and rental cars, ensuring that all such travel is done in compliance with State and Department rules and policies;
- Scheduling meetings for Bureau Chief and other supervisors as required;
- Assisting in the annual CJIS Annual Training Symposium planning;
- Assisting in coordinating various workshops and seminars;
- Submitting accurate forms and records in accordance with established section procedures; and
- Submitting attendance and leave forms, work activity reports and other documents in accordance with announced schedules.
KNOWLEDGE, SKILLS & ABILITIES:
- Knowledge of general office procedures and practices;
- Knowledge of Microsoft Office applications, including Word, Outlook, and Excel;
- Ability to communicate effectively both verbally and in writing;
- Ability to record, collect, evaluates, and analyzes data;
- Ability to organize files, records and/or other materials;
- Ability to sort data alphabetically, numerically, and categorically;
- Ability to read and interpret law enforcement data;
- Ability to review data for accuracy and completeness;
- Ability to read and interpret state statutes; and
- Ability to review correspondence with attention to detail and adhere to established formatting guidelines to ensure accuracy, consistency, and professionalism.
