The Senior Executive Assistant will be the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO. The position requires a high degree of professionalism, administrative expertise, and excellent organizational skills. The successful candidate will be detail-oriented, proactive professional, and comfortable working in a fast-paced environment while maintaining utmost discretion and professionalism. 
This position may necessitate travel to downtown San Francisco and Burlingame, contingent on the CEO's schedule, and could potentially require an in-office presence up to five days a week.

Responsibilities:

  • Manage the CEO's calendar, schedule appointments, coordinate logistics for meetings, and ensure timely communication and troubleshooting.
  • Coordinate agendas, and follow-ups for all executive meetings.
  • Prioritize and manage multiple projects simultaneously, following through on issues in a timely manner.
  • Proactively identify problems and tasks, taking action to resolve them without requiring oversight.
  • Demonstrate an ability to work in an environment with a high level of context switching.
  • Organize travel arrangements including booking flights, car transport, and accommodations in multiple time zones.
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings.
  • Schedule and attend meetings for the CEO and coordinate follow-ups.
  • Draft presentations and internal and external communications.
  • Liaise with clients, and staff on the CEO's behalf.
  • Responsible for daily ad-hoc assignments that come up within the CEO’s team in a growing startup.
  • Manage confidential matters with discretion .Able to be in the office up to 5 days per week and when the CEO is in office.
  • Light administrative office duties such as checking incoming mail, and placing orders for office supplies. 

Qualifications:

  • 5- 7  years of experience as an executive assistant or similar role supporting senior-level management, preferably in a fast-paced and growth-oriented environment.
  • Expert in the Google Suite and virtual conferencing tools - Zoom.
  • Exceptional organizational skills and attention to detail.
  • Excellent verbal and written communication skills
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines.
  • High level of integrity and discretion in handling confidential information.
  • Bachelor’s Degree or equivalent work experience.
