Position Summary
Reporting to the People & Culture Manager, based in the Dublin office we are seeking a proactive and highly organized HR & Office Administrator to support both our People & Culture (P&C) team and office operations. In this role, you'll be the go-to person for office-related needs, creating a welcoming environment for employees while ensuring the smooth running of day-to-day operations. You will also play a key role in HR administration, including onboarding new hires, maintaining employee records, and supporting employee engagement initiatives.
What you will be doing:
Office Administration
- Build strong relationships with employees, acting as the go-to person for office-related questions.
- Lead social events such as Quarterly office events & Monthly Happy Hour
- Manage office perks, ordering snacks, drinks, weekly lunch & breakfast orders
- Carry out office administrative duties such as receiving packages, responding to inquiries, office inventory, welcoming visitors
- Liaise and maintain relationships with building management, maintenance, sub-contractors, and janitorial staff.
- Keep meeting rooms tidy and ready for use.
- Work with the Compliance team on office security protocols
- Act as Health & Safety Officer, implementing and enforcing safety protocols, conducting risk assessments and audits.
HR Administration
- Collaborate closely with the P&C manager on P&C matters, including new hire setup, new hire orientation, on-boarding, performance management, and H&S training.
- Manage employee records and update information in BambooHR, our HRIS.
- Respond to employee inquiries and provide administrative support.
- Organize and maintain P&C files and records, ensuring compliance with policies and legal requirements.
- Support preparation of P&C reports and presentations.
- Assist in maintaining and developing P&C programs, policies, and documents.
- Support Talent Acquisition with recruitment activities as needed.
You have:
- CIPD accreditation or Bachelor’s degree in Human Resources, Business Administration, or a related field.
- A minimum of 2 years of experience in office administration, recruitment or HR support
- Strong organization, time management and follow-up skills
- Strong telephone, and email writing skills
- Proficient in GSuite & Excel
