Executive Assistant

As the Executive Assistant at ActivTrak, you are an ambitious, professional, self-driven individual that will provide executive support for our CEO and other executive leaders. You will bring enthusiasm and energy to support the growth of our business and people. While we are a remote-first workplace, this role is based in Austin, TX and will require your presence in our office at least 2 days per week.
In this role, you will:
- Manage and coordinate the CEO’s calendar, ensuring appointments, meetings, and travel arrangements are organized efficiently.
- Communicate with Board Directors, shareholders and external parties on behalf of the CEO.
- Provide administrative assistance, including expense management.
- Support other senior leadership with calendar and expense management.
- Act as a point of contact between executives, internal teams, clients, and external partners to ensure effective communication.
- Plan and coordinate logistics for company events.
- Support the HR department with general administrative tasks and recruiting activities.
- Provide back-up support to the Office Manager for all office operations, including facilities, equipment, office supplies, vendor management and more.
- Handle sensitive information and situations with the highest level of discretion and professionalism.
- Assist in special projects, tasks, and initiatives, as assigned.
Requirements
Your experience:
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Expert at multitasking, problem-solving, and organization.
- Strong written and verbal communication skills and the ability to maintain discretion when working with privileged information.
- Ability and willingness to be available outside of core business hours and ad hoc needs.
- Excellent time management and prioritization skills, with a history of effectively managing many competing priorities and triaging projects as appropriate.
- A can-do attitude and strong problem-solving skills, along with a bias towards action and execution.
- Ability to work effectively amidst ambiguity and flexibility to meet the varying daily needs of our dynamic, growing company.
- Proficiency with Google Suite.
- Corporate event planning experience is strongly preferred.
- Experience working in a startup environment is strongly preferred.
