Part-Time Office Administrator/Receptionist (M/F/D)

The Opportunity:
Avantor is seeking a highly organized, part-time Office Administrator/Receptionist to provide essential administrative support to various departments and ensure efficient task and request management.
This role is fully site-based in our Dublin office at the Orion Business Centre.
Working days/hours
Tuesday, Wednesday & Thursday from 9 am until 2 pm (15 hours total)
What we’re looking for
Experience: At least 3 years in an administrative role
Strong organizational skills
IT proficiency
Effective verbal and written communication skills
Required Languages: Fluency in both written and spoken English
How you will thrive and create an impact
Meeting and greeting visitors and allowing access into the building
Manages TV in reception and updates with names/profiles of weekly/daily visitors
Responsible for daily distribution of post and management of outgoing post
Scanning of invoices to the AP team
Provides administrative support for multiple departments within Avantor – to include training records, assistance with INAB certs.
Company car administration tasks to include the management of toll tags, fuel cards, tax discs, liaising with fleet companies for new car leases, coordination of Company car BIK forms, preparing BIK data for payroll.
Point of contact for Egencia - our travel partner; assist staff set up their profiles plus agree rates with our chosen local hotels annually.
Ensures Avantor Ireland Intranet is up to date, uploading and maintaining integrity of documents
Assists in the organisation of internal and external company events and provides administrative support
Arranges lunches & refreshments for internal meetings
Scheduling Induction Day for new starters
Manages budget and replenishment of all stationary supplies, and other ad hoc supplies as needed for office and canteen etc
Maintains the franking machine, water dispensers and coffee machine
Meeting room and marketing room management
Meeting service contractors and ensuring Permits to Work are completed prior to the commencement of works
Handling overflow of incoming calls
Performs other duties as assigned
In conjunction with the Manager, sets, agrees, and takes ownership of goals as per the PMP process
Willingness to perform other duties as assigned
