Job Description:

Summary:

University Event Scheduling is seeking a motivated, detail-oriented graduate student to join our team!  This position offers hands-on experience with event scheduling systems and campus operations – ideal for someone interested in event management or higher education administration.  As a staff assistant, you will help process and manage space reservations through the EMS scheduling system, communicate with event organizers, and support the team’s operational and outreach efforts.

Responsibilities:

  • Provide front-line office coverage, including answering the main phone line, responding to general inquiries, and welcoming walk-in guests.
  • Review and process space requests in the EMS scheduling system, paying strict attention to University space policies and scheduling restrictions.
  • Communicate with clients via email and phone about questions or concerns related to their event requests, offering alternatives and coordinating with campus schedulers as needed.
  • Process contracts and invoices for events like Market Wednesday.
  • Assist with managing user access and data updates in EMS.
  • Assist with creating user guides and outreach materials.
  • Occasionally support evening/weekend events during high-demand periods.

Position Type/Expected Hours of work:

  • Student.
  • Part-time.
  • 20 hours per week.
  • Position for summer 2025 through academic year 2025-26.

Salary Range:

  • $18.50/hour.

Preferred Education and Experience:

  • Strong organizational skills, attention to detail, and commitment to producing quality work.
  • Excellent customer service and communication skills.
  • Interest and ability to work with technology and process large amounts of information.
  • Professionalism and the ability to work independently and collaboratively.
  • Preference for candidates who can commit to at least one full academic year (excluding summers).
  • A two-year commitment is preferred.
  • Occasional evening/weekend availability during peak periods is a plus.
