Plans and implements production of up to 20 events each year that directly support the District and department's vision of Citywide programs. Programs include Performing Arts Events, Visual Art Exhibits, Theater and Dance Events, Shakespeare Festival, and Physical Education/Dance Summer Institute. Includes collaborative efforts with numerous community partnerships, including arts, cultural, and academic organizations, for the purpose of supporting Whole Child development of students in the District. Event attendance will range from less than 100 to more than 4500 participants.

- Plans and implements production of District-wide events, including overseeing multiple events at one time and providing support for department professional development
- Oversees collaboration of team members, in-District departments, and stakeholders to create clear outcomes and purpose for each event, and implements those goals throughout every aspect of planning and execution
- Creates and diligently adheres to comprehensive timeline and budget for events, including extra-duty pay for teachers’ compensation and independent contracts
- Creates, communicates, and implements high quality event deliverables and resources
- Organizes and contracts with vendors to book venue, food and beverage, entertainment, and rentals; prepares and submits independent contracts, teacher extra-duty pay, and requests for safety and security; and maintains communications to ensure preparedness for the events
- Drives high attendance rates through promotions and generates creative materials, presentations, awards, invitations, programs, and strategic communications
- Recruits, trains, and manages event-support volunteers
- Creates and facilitates teaching artist trainings.
- Creates after event data reports
- Establishes and implements qualitative feedback gathering to track and gauge event impact
What You’ll Need:
- High School Diploma or GED - Required
- Bachelor's Degree - Preferred
- Three (3+) plus years of progressive event planning/coordination experience - Required
- Three (3+) plus years of Marketing and public relations experience - Required
- Must have valid driver's license, meet the District's insurability requirements, and have an acceptable driving record for the past three years - Required
- Must be proficient with a variety of computer platforms for word processing, spreadsheets, databases, graphic design, e-mail, and website development
- Effective time management, programming, planning, and organizational skills
- Excellent verbal and written communication skills
- Strong attention to detail and ability to demonstrate critical thinking, problem-solving, and foresight skills
- Effectively handles multiple demands and competing deadlines, often with interruptions
- The ability to take responsibility for one’s own performance
- Works collaboratively with others on a team
- Ability to work with diverse population and community
- High degree of integrity in handling confidential information
- Firm understanding of diversity/cultural proficiency and related subject matter
- Ability to build strong relationships with vendors and creatively maximize cost savings for highest quality event on a tight budget
- Demonstrated success in forming partnerships with community and cultural organizations
- Access to reliable transportation for transport of supplies, equipment, and other materials from site to site
- Lead for racial and educational excellence and work to dismantle systems of oppression and inequity in our community, along with believing in and supporting all students so they feel seen and heard with access to high quality education.
