We are seeking a Senior Administrative Program Specialist to support a NASA contract in Greenbelt, MD.
Job Description:
Serve as the Senior Administrative Program Specialist providing executive business support to the GEO Programs Division at NASA Goddard Space Flight Center.
Responsibilities:
• Provide proactive administrative and business support to the GEO Programs Division leadership, Chief of Staff, and team members, ensuring effective coordination and communication across the program office.
• Develop, review, and format documents and presentations for internal and external stakeholders, ensuring consistency with NOAA/NASA standards.
• Manage calendars, schedule and coordinate meetings (both in-person and virtual), and handle all logistical requirements including agendas, attendee coordination, and technical support.
• Responsible for deciding how to approach tasks, develop a plan, and communicate with a team to accomplish them.
• Responsible for distributing information to team members, stakeholders, and leadership quickly and efficiently
• Maintain and update databases, records, and information systems to support tracking of administrative tasks and project activities.
• Conduct a technical review of correspondence prepared for signature of organizational executives to assure consistency with NOAA/NASA procedures, standards and directive on completeness, timeliness, and format standards.
• Answer phones; including taking and delivering messages.
• Greet visitors and escort them to meeting locations as needed.
• Support and coordinate, as needed, office logistics including supplies, inventory, moves, and workspace setup.
• Analyze data for reports including gathering data from database reports, performing variance analysis, and writing data for presentation format.
• Support logistical needs including travel coordination and shipping of materials.
• Work with the GEO Programs/Projects to develop and maintain Standard Operating Procedures for general administrative tasks within the division.
• Coordinate foreign national visits to include security/badge processing.
• Participate in onboarding support for new division staff and assist the retirement transition process for departing staff.
• Prepare, process, and coordinate approval for purchase request and other documents.
• Support the GEO Programs Division NOAA Continuity of Operations Plan.
• Additional duties as identified; May lead others in complex assignments.
Requirements:
• Experience as a team lead or supervisor setting goals, overseeing tasks, and reporting to stakeholders and leadership
• Ability to quickly take action to changing environments and communicate a clear direction to employees and customers with urgency.
• A strong ability to make sound decisions quickly utilizing analysis, experience, and judgment.
• Ability to learn quickly and think critically to create innovative solutions for customer and employee needs.
• Expert knowledge of Office 365 suite (Excel, Word, PowerPoint, Outlook)
• Outstanding proactive customer service with strong problem solving skills and the ability to anticipate customer needs by recognizing areas of opportunity and quickly provide solutions.
• Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Some travel may be required.
Education and Experience:
Bachelor’s degree and 5-7 years of related professional experience or equivalent professional experience in lieu of degree.
