REPORTS TO Outreach Program Manager
STATUS Full-time | Hourly | Nonexempt | 40 hours/week
COMPENSATION Up to $25.00/hour | annualized budget maximum $52,000


Position Summary

The Administrative Coordinator is the reporting and administrative backbone of the SEPTA SCOPE program. The role manages reporting calendars, reviews daily field documentation, reconciles information across approved systems, supports billing, maintains training/credential records and helps the Program Manager keep the program accurate, organized and ready for SEPTA review.
Essential Duties & Responsibilities

• Maintain the program calendar for daily encounter submissions, monthly data revisions due by the second Wednesday, monthly invoicing due by the second Friday, quarterly compliance/training reporting and other required deadlines.
• Review outreach encounter records and end-of-shift documentation for completeness, consistency and timeliness; follow up promptly on missing information.
• Prepare and support required SEPTA activity reports, monthly data revisions, training/compliance reports and other deliverables.
• Prepare billing-support documentation and reconcile field activity, hours, location/station information and other data needed for accurate invoicing.
• Reconcile information across approved program tools, which may include Clinically AI, the Homeless Management Information System, Netsmart myEvolv electronic health record, ArcGIS work-location reporting, spreadsheets and other approved systems.
• Maintain training, credential and expiration records and alert the Program Manager and Human Resources before an item affects field eligibility.
• Support rosters, onboarding, access requests, devices and other program-administration needs.
• Maintain organized, audit-ready records and protect confidential client, employee and program information.
• Perform other related duties required for successful program operation.
Qualifications
• Experience in administrative coordination, reporting, billing support, healthcare/behavioral-health operations, data coordination or a comparable role.
• Strong attention to detail, organization, follow-through and deadline management.
• Comfort with spreadsheets and the ability to learn multiple electronic systems.
• Ability to identify discrepancies and communicate clearly with field staff and leadership to resolve them.
• Ability to handle confidential information appropriately.
• Behavioral-health documentation, electronic health record, Homeless Management Information System or contract-reporting experience is helpful but not required.
• Ability to perform the essential functions of the position, with or without reasonable accommodation.
Conditions And Work Environment
This is primarily an office-based Penrose role requiring regular computer use, electronic documentation, communication and sustained attention to detail. The Administrative Coordinator is not assigned a driver requirement or SEPTA field-clearance requirements unless the role later receives duties that make them applicable.
