Job Description
Please note: This role will be based in San Mateo, CA or Bellevue, WA and requires an in-office presence three days per week.
A key leadership team member supporting the Chief of Global Field Operations and driver of change. You will work alongside this leader and teams as an Executive Assistant as well as a Program Manager of key initiatives. This role reports to the Chief of Global Field Operations.
Calendar Management: Managing the executive's schedule, arranging meetings, appointments and coordinating travel plans. This includes scheduling, rescheduling, and prioritizing events to optimize the executive's time.
Communication: Handling and filtering varied forms of communication, and responding on the executive's behalf when appropriate. Ensures that important messages reach the executive promptly. As needed, you are responsible for communicating with the management team, field leadership, and other stakeholders on agenda items while assisting with ad hoc projects.
Information Management: Organizing and maintaining documents, files, and other critical information. This includes keeping records, confidential documents, and data organized and easily accessible.
Relationship Building: Building and maintaining relationships with key internal and external stakeholders, including employees, clients, partners, and board members.
Confidentiality: Handling sensitive and confidential information with the utmost discretion and maintaining a high level of trustworthiness.
Technology Proficiency: Staying updated on relevant software and tools to enhance productivity, such as email management software, project management tools, and communication platform.
Team Support: Collaborating with the executive's direct reports to ensure alignment with the executive's goals and priorities.
Crisis Management: Being prepared to handle emergencies, crises, or urgent matters on behalf of the executive.
Meeting Support: Preparing materials and agendas for management meetings, recording minutes, and ensuring that follow-up actions are tracked and completed.
Research: Conducting research and analysis on various topics, providing the executive with relevant information to support decision-making.
Budget Management: Managing the executive's budget, expense reports, and financial records, ensuring that expenses are tracked and within budget limits.
Travel Arrangements: Planning and organizing travel, including booking flights, accommodations, ground transportation, and ensuring travel itineraries are well-detailed.
Recruiting: Partner with Recruiting to accommodate candidate interviews with executives and prepare workspaces for new hires.
Event Planning: Facilitate company engagement events, such as the annual Sales Kick-off, Quarterly Award Dinners, and work closely with cross-functional leaders to assist with internal & external events (both virtual and on-site). As needed, assist with creating presentation slides for All-Hands and other ad hoc events.
Qualifications
8-10+ years of Executive Assistant experience (Enterprise experience is a plus!)
Previous experience managing program and initiatives is ideal but not required
This is an in-office/ hybrid role that will require in-office work days with the executives
Prior experience maintaining confidentiality and dealing with information that is highly sensitive
