OR Materials Manager - Full Time - Days

Job Summary

Establishes and maintains an efficient operation and process in the procurement of surgical supplies and equipment using contract management. Manages and addresses changes in clinical needs to meet best practices in a cost-efficient manner for best outcomes, both physically and fiscally. Manages the cost of acquisition of products and services for Surgical Services in order to drive the revenue associated with the Surgical Services departments.

Core Job Responsibilities

• Assists clinical areas in identifying products and equipment needed for patient procedures and related care. 
• Researches and negotiates for products and equipment planned for purchase. Uses knowledge of purchasing policies and procedures combined with knowledge of types, grades and qualities of a wide variety of equipment, supplies and materials in the marketplace. Uses all available tools including group purchasing contracts, capital databases, market research tools (i.e., ECRI), and expertise from other facilities.
• Collaborates with clinicians, manufacturers and suppliers to determine feasibility of product change implementation as well as possible product/equipment standardization. 
• Analyzes costs and quality factors related to patient outcomes. Makes recommendations based on factors that lead to cost effective procurement and/or procedural outcome.
• Manages and addresses changes in clinical needs to meet best practices in a cost-efficient manner for best outcomes, both physically and fiscally.
• Manages the cost of acquisition of products and services in order to drive the revenue associated with the clinical services departments.
• Manages day-to-day tasks, objectives and workflow to meet deadlines. 
• In partnership with leadership and Human Resources, make decisions or recommendations related to performance management, hiring, transfers, corrective actions, terminations, etc.  Resolve staff issues and grievances in a fair, timely and consistent manner, also in partnership with HR.
• Supervises buyers and purchasing agents. May supervise others. 
• Presents findings, financial and clinical implications to the Director of MM. Applies analytics to drive decision making.
• Establishes and revises work plans for cost saving and efficiency improvement goals using tools such as Supply Chain Advisor, Quality Advisor, Supply Focus, Ascend Portal, Operations Advisor and ECRI’s price guide.
• Responsible for the resolution of invoice discrepancies. Promotes open communication with Accounts Payable and other teams in a timely manner.
• Maintains contracts in good standing, verifies tier pricing, and complies cost savings reports based on negotiations of individual and Group Purchasing Organization (GPO) agreements.
• Serves on the Product Value Analysis Committee (PVAC). Provides input with agenda topics, researches product and equipment information with manufacturers and vendors, and communicates findings to committee. 
• Assists Surgical Services with safety recalls and safety alerts that are sent by the Recall Coordinator and handles properly according to Hospital policy.
• Researches and communicates updates for procedural coding with Accounts Payable.
• Ensures the addition of new items in item dictionary relating to Clinical Services, to include procedure codes and billing codes.
• Ensures price updates per contract notification to item dictionary.
• Ensures freight management program includes invoices, training, supplier enrollment and the optimization of savings.
• Ensures appropriate professional and ethical methods and behavior are displayed when meeting sales representatives. Understands and adheres to all vendor and administrative policies that forbid the acceptance of any gifts.
• Establishes and verifies the compliance of patient charges for products used by surgical services given the contract in effect.
• Keeps teammates informed on new products, equipment, safety issues, policies, hospital news and other relevant information. Leads and actively participates in teammate meetings.
• Keeps Director and team members updated regarding any issues, problems or concerns.

Education/Experience Requirements

REQUIRED:  

• Bachelor’s degree in Business Management, Healthcare, Nursing or a related field, or equivalent work experience.
• Five years in healthcare, preferably in a procurement or finance role.
• Knowledge and experience in quality indicators and Value Based Purchasing initiatives. Knowledge of Medicare, Medicaid and other regulatory compliance standards required.
