What will you do in this role?
The receptionist serves as the first point of contact, playing a key role in creating a positive impression for customers and visitors. The primary responsibilities include greeting and directing visitors, managing the visitor register, and making meeting or event arrangements. You will also assist with equipment organization and ensure the reception area is clean and welcoming, contributing to a professional and inviting atmosphere.
In addition to these duties, you play a vital role in enhancing security by verifying the identity of visitors and notifying security personnel of any suspicious activity. You are also responsible for monitoring, maintaining, and ordering office supplies and equipment. Strong communication skills, a pleasant demeanour, and a professional attitude are essential for success in this role, as you directly impact customer satisfaction and help maintain a positive business image.
- Daily tasks will include:
- Welcoming and guiding guests to ICEYE premises
- Manage the reception area
- Handling deliveries, packages and documents sent to/from ICEYE Office
- Managing mail
- Setting up meeting rooms for events (basic setup and additional requested items)
- Event support
- Preparing the meeting rooms for events, organizing catering
- Inventory management
- Assisting in planning, coordinating and executing meetings and events at the office premises
Requirements
- Proven track record as a Receptionist, Front Office Representative, Conference Host or similar role
- Professional attitude and appearance
- Excellent organizational skills and attention to detail
- Proficient in English (oral and written), Finnish is considered as an advantage
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude and discretion
- High school degree; additional certification in hospitality or culinary management is a plus
