Job DetailsJob Location: Arizona Office - Phoenix, AZ 85035Salary Range: $22.00 HourlyThe Warehouse & Facilities Coordinator is responsible for maintaining control of daily warehouse operations, including inbound and outbound freight processing, inventory accuracy, staging readiness, and related billing documentation. This role serves as the single point of accountability for warehouse organization, inventory tracking, and coordination with dispatch to support on-time delivery performance. The position also supports facility readiness, light administrative functions, and basic fleet coordination. Responsibilities may expand as operational needs evolve and the business grows.
Essential Duties and Responsibilities
Warehouse Operations & Freight Control

Receive, inspect, and offload inbound freight using forklifts or pallet jacks
Safely break down and restack double- and triple-stacked pallets as required
Verify mixed-load freight against bills of lading and receiving documentation
Accurately store freight with proper labeling, rotation, and location control
Stage outbound orders for driver self-loading and scheduled delivery appointments
Prepare and load freight for company vehicles and LTL carriers using forklifts as required
Reconfigure palletized freight to match delivery equipment and vehicle capacity
Maintain delivery-ready staging areas to support same-day and next-day operations
Keep dock areas, storage locations, and aisles organized for safe and efficient flow

Inventory Control & Billing Documentation

Maintain accurate inventory records across multiple customers and product lines
Perform cycle counts and routine inventory audits
Monitor inventory levels and support periodic and monthly reporting
Reconcile receiving quantities against bills of lading, delivery records, and shipment logs
Complete receiving documentation and billing support within required timeframes
Maintain inbound and outbound shipment logs to ensure billing accuracy
Investigate and resolve inventory, documentation, and billing discrepancies promptly
Report damage trends, and variances with recommended solutions
Perform FIFO rotation and maintain proper product staging for scheduled deliveries

Dispatch & Delivery Coordination

Communicate directly with dispatch regarding freight availability, staging status, and delivery schedules
Ensure orders are staged in alignment with delivery appointments and route timing
Support on-time service performance through accurate freight readiness and documentation

Facility Support & Operational Readiness

Maintain a professional, safe, and functional warehouse and office environment
Perform light facility tasks such as replacing light bulbs, minor touch-up painting, and basic repairs
Coordinate carpet cleaning and other vendor services as directed
Monitor and restock warehouse and office supplies
Identify and report maintenance or safety issues and assist with corrective action
Prepare dock space, work areas, and common areas for daily operations and customer visits
Serve as the on-site warehouse contact for scheduled vendor and inventory visits

Fleet & Operational Support

Assist with rental vehicle coordination and preventative maintenance scheduling
Support periodic freight spot checks and documentation reviews
Provide backup support to operations during peak periods as needed

Safety & Compliance

Follow and promote all safety procedures, equipment guidelines, and company policies.
Maintain a clean, organized, and operational work environment in accordance with safety standards
Use forklifts, pallet jacks, and material handling equipment safely and appropriately

What We’re Looking For

We’re looking for someone who takes ownership of the position. Keeps the warehouse and facility organized, communicates effectively with operations, and is willing to step in wherever needed to support the team.

Qualifications
Ability to lift up to 75 lbs and stand, walk, and bend for extended periods
Forklift, electric pallet jack, and manual pallet jack experience required
Experience using hand trucks/dollies
Experience receiving and processing multi-pallet freight and mixed loads
Ability to safely handle and break down double-stacked pallets
Experience with inventory control, cycle counting, and product rotation (FIFO) preferred
Ability to read and reconcile bills of lading, packing slips, and shipping documents
Basic knowledge of LTL shipping and staging requirements preferred
Comfortable communicating with operations regarding staging and delivery schedules
Strong problem-solving skills with the ability to investigate and resolve discrepancies
Basic computer and data entry skills
Strong attention to detail and organizational skills
Reliable attendance and ability to work independently
Must have reliable transportation
