Job Overview
TE Connectivity's Administrative Support Teams are responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.
HYBRID ROLE
- Meeting & Calendar Management: Manage executive calendars, including scheduling and prioritizing meetings, events, and appointments to ensure efficient time management. Prepare agendas, take notes, and distribute meeting materials, as necessary.
- Time and Travel Management: Coordinate travel arrangements, including booking flights, accommodations, reservations, and transportation. Prepare and submit expense and travel reports.
- Event Planning: Organize and coordinate for meetings, functions, conferences, etc. both on site and off site (creating/sending invitations, preparing files and materials, coordinating reservations and accommodations).
- Executive Correspondence: Manage and prioritize incoming communications and calendar events, ensuring timely responses and follow-ups in line with the needs of the business.
- Communication: Act as the point of contact between executive and internal/external stakeholders, ensure high level of professionalism, communication, and service. Assist in facilitation and management of organizational newsletters, town hall meetings, employee recognition, etc.
- Project Coordination: Facilitate and provide administrative support on key projects such as onboarding, lunch & learns, skip levels, birthday & anniversaries, etc. Responsibilities include scheduling, agenda preparation, cross-department collaboration, progress tracking, ensuring timely follow up, and process improvement.
What your background should look like:
This is a hybrid role in the Harrisburg location.
- Bachelor's Degree in Business Administration, Communications, or related field.
- Minimum of 5 years’ experience as an Executive Assistant supporting Vice President or Executive level leaders, preferably in a large, global organization.
- Proven experience managing complex calendars, travel arrangements, and meetings
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with company travel systems such as Concur.
- Highly professional written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Excellent time management and multi-tasking skills with the ability to manage competing priorities.
- Meticulous attention to detail, especially when preparing documents, managing schedules, and communicating colleagues, clients, and stakeholders.
