The Executive Assistant will be an experienced professional proficient in managing a broad range of administrative tasks and projects. The incumbent will provide high-level administrative support for scheduling, communications, task prioritization, complex administrative initiatives, highly confidential matters, and daily operations. The Executive Assistant must be capable of independent decision-making and possess initiative to complete a broad range of administrative and support responsibilities.
SUPERVISORY AND OTHER CONTACTS
This individual does not supervise others. This individual has contact with Oak Hill staff and with external parties.

DUTIES AND RESPONSIBILITIES
• Supports the Chief Administrator for Community Programs and other members of the Community Programs leadership team in prioritizing projects, tasks, and meetings through proven processes to improve time, communications, and overall organization.
• Provides excellent administrative service and support related to greeting visitors, coordinating visits, vendor coordination, room/lunch preparation for meetings, travel arrangements, and calendar management.
• Maintains files, logs, and records as well as creation and maintenance of shared documents.
• Schedules and attends meetings, takes notes and records minutes.
• Ensure proper conference room setup/breakdown and food setup for meetings.
• Performs tasks using independent judgment and discretion, e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; adheres to internal standards, policies, and procedures.
• Demonstrates excellent judgment in ambiguous situations and creative problem solving.
• Cross-trains and potentially backs-up in other areas as needed to provide depth of operations within the department.
• Complete and submit including but not limited to financial information, expense reports, and works directly with Finance to gather, analyze, and report information.
• Other duties as required.
• Responsible for spearheading and or guiding Community Program team members in ensuring that policies, procedures and practices are followed and adhered to on an on-going basis.

QUALIFICATION REQUIREMENTS
• Bachelor’s Degree
• Minimum 5+ years’ experience as an administrative or executive assistant, including responsibility for complex meeting scheduling and executive calendar management
• Self-starter with good organizational skills and able to handle multiple tasks
• Demonstrated success working in a team environment
• Excellent administrative, interpersonal, organizational, research, verbal, and writing skills, plus the proven ability to exercise sound judgment in a variety of situations
• High level of computer proficiency in a Microsoft Windows environment, including experience working with the Microsoft Office suite
• Maintaining confidentiality, a must.
