About the Role  

 

The Office Manager will report into the Director, Human Resources and oversee the general administrative function and activities of the Columbia office.

 

 

What You’ll Do 

 

  • Facilitates the maintenance of office equipment including cleaning, maintenance, and repairs. Orders the appropriate supplies related to the ongoing operation of office equipment.
  • Manage relationships with external resources – building management, supply vendors, service providers.
  • Obtain/provide building’s access key cards for new employees and recover the key cards from employees terminating employment.
  • Maintain an understanding of the operation of pantry equipment; notify service provider when maintenance is required.
  • Supervise/quality audit the cleaning services that are provided by the building’s cleaning vendor and report housekeeping issues to the building’s Facilities Manager.
  • Provides clerical support when needed to assist with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
  • Greets guests of Tate to the Columbia office.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Assists in organizing employee events; contacts vendors, tracks costs, collect contracts and manages events booking and planning.
  • Maintains office digital files; implements an efficient system for other staff to access files and records.
  • Performs other related duties and assist on projects as assigned by the Director, Human Resources.
  • Provides backup to the executive assistant for Kingspan North America.
  • Maintains awareness of individual contribution to and impact of the quality, safety, environmental and product compliance policies and activities; report a;; quality issues, unsafe acts, and unsafe conditions to the proper personnel.

 

 

Additional Expectation 

 

  • Remain compliant with the Code of Conduct and Policies which includes the Kingspan Group Compliance Policy. 
  • Ensure that all duties related to product compliance are adhered to in accordance with the Product Compliance Policy, Laws, Regulations, and market demands. 
  • Responsible for all tasks to achieve compliance goals and demands of the Compliance Management System. 
  • Must raise concerns related to the Compliance Management System to their supervisor, manager, or any member of the Leadership Team, or through the confidential whistle blower service. 

 

 

What You’ll Bring 

 

  • High school diploma or equivalent required; Associate degree in office administration or related field preferred.
  • At least three years of administrative experience required. Previous office management experience
  • Required Skills/Abilities:
  • Extensive knowledge of office management procedures.
  • Strong problem-solving skills.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
