Scope of leadership role
This role will serve as the key administrative partner to two C-suite executives; Senior Vice President, Strategic Sourcing, Supply Chain and the Senior Vice President, Regal Rexnord Business System. From time to time, may provide additional directed support to members of Regal’s executive leadership team.
In the role, the Executive Administrative Assistant will also perform office management related duties for the Rosemont office location.
Key Responsibilities
The Executive Administrative Assistant is responsible for leveraging their organizational skills, document management expertise, and office experience to manage, maintain and organize the essential activities of the the Senior Vice President, Strategic Sourcing, Supply Chain and the Senior Vice President, Regal Rexnord Business System and their teams.
This includes:
- Providing primary day-to-day administrative support by managing calendars (i.e. making appointments & prioritizing sensitive matters), organizing, maintaining and updating electronic files & databases
- Facilitate, plan and arrange agendas, meetings and extensive domestic and international travels
- Drafting, proofreading, editing, organizing, tracking and filing various business documents in accordance with established protocols, including presentations (PowerPoint/Excel Charts & Graphs), letters, messages, reports, memoranda, agreements, meeting agendas, and other corporate documents
- Prioritizing matters for handling and processing in a timely manner and tracking to ensure that all deadlines are met
- Working closely with a variety of associates including: candidates & new hires, internal and external business associates and contacts to foster professional communication and provide needed support
- Ensuring and protecting the confidentiality of Regal’s business matters
- Oversee the maintenance and upkeep of office facilities, ensuring a clean, safe, and efficient working environment.
- Coordination with Team Events, department meetings that require coordination of leaders onsite.
- Collect, review, and organize expenses, ensuring timely processing, accurate reconciliation, and compliance with corporate reporting policies.
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
The successful candidate will have proven experience as a key administrative partner to an executive leader with demonstrated ability in developing collaborative relationships within the team and across the organization. This administrative partner must have the passion, energy and intellectual curiosity necessary for a fast-paced, growth-driven environment, be able to employ forward thinking, and have the ability to anticipate and expeditiously execute tasks, projects and programs.
Minimum Requirements:
- 5 or more years of experience as an administrative assistant in an executive leadership environment, or an equivalent combination of education and experience relating to this position.
- 5 or more years experience required, 8 or more preferred for compliance reasons.
- Excellent interpersonal and influencing skills to establish trust, credibility and rapport at all levels of the organization; seen as humble, direct, and authentic while possessing professional presence.
- Working knowledge of basic business terminology and concepts along with the ability to read, proofread and organize documents.
- Advanced skills in Microsoft Office Suite.
- Proven ability to be hands on, roll-up their sleeves and demonstrate resourcefulness, initiative, results-orientation.
- Has a mindset of continuous improvement and can embrace Regal’s 80/20 principles.
- Demonstrated ability to develop strong partnerships and influence resources outside one’s direct responsibility.
- Capability of operating at the highest level of integrity, ethical standards and confidentiality.
Compensation Details:
90K - 110K
The salary range provided is intended to display the value of the company's base pay compensation for all statewide locations across the United States. Salary is dependent on a multitude of factors, including but not limited to the physical worksite location, candidate's skill set, level of experience, education and internal peer compensation comparisons.
