About the role

This is a remote position.

Schedule:   Monday to Friday, 9 AM - 6 PM with 1 hour unpaid break,  Central Time (Burnsvile, MN)

Paid hours per week: 40 hours 

Client Overview:

A growing psychiatric mental health practice in the Twin Cities area focused on providing quality behavioral health services to its community. The practice operates with extended evening hours to accommodate patient needs and maintains the highest standards of HIPAA compliance and patient care continuity. Job Description: You’ll be the backbone of a dedicated mental health practice, ensuring seamless operations that directly support patient care and provider efficiency. This role puts you at the center of healthcare administration, where your expertise in medical processes, insurance navigation, and patient communication makes a real difference in people’s mental health journeys. You’ll work with a professional team that values reliability, attention to detail, and compassionate patient service in a fully remote, HIPAA-compliant environment.

Responsibilities:

  • Conduct comprehensive insurance verification and process prior authorizations for treatments and medications
  • Monitor patient portals and triage messages, assigning appropriate tasks to healthcare providers
  • Handle inbound patient calls professionally and schedule appointments efficiently
  • Collect copays and outstanding payments through strategic phone and text communications
  • Prepare and process medication refill requests to ensure continuity of patient care
  • Manage medical fax communications and administrative correspondence throughout the day
  • Perform morning preparation tasks, including message review and daily workflow setup
  • Support general practice operations to maintain smooth healthcare delivery
  • Maintain strict HIPAA compliance in all patient interactions and data handling

Requirements

  • 5+ years of medical administrative experience with strong healthcare knowledge
  • Proven expertise in insurance verification and prior authorization processes
  • Solid understanding of HIPAA compliance and healthcare privacy regulations
  • Experience with EMR systems, patient portals, and healthcare CRM platforms
  • Excellent verbal and written communication skills for patient-facing interactions
  • Ability to work independently in a remote environment with reliable internet
  • Bonus if you have mental health or behavioral health administrative experience
