Accounts & Administration Officer (Xero) - Work from Home

About the role
- Reconcile supplier statements at the end of each month and provide feedback to the Administration Officer before approval.
- Identify outstanding payments and follow up accordingly.
- Process invoices and manage Xero for financial tracking.
- Assist in chasing up payments from customers.
- Eventually, take on Accounts Receivable (AR) responsibilities.
- Provide administrative support to the Project Management team, including:
- Managing contract claims.
- Organizing and filing contracts.
- Preparing reports for claims submission.
- Support workshop transactional tasks, ensuring smooth workflow operations.
- Order stationery and manage office supply inventory.
- Assist with ad hoc administrative tasks as required.
- Utilize MRP system (Gojee) to create new jobs and set up templates within SharePoint and OneDrive.
- Work with Monday.com to manage new deals and client information.
- Use Hubdoc for pre-filling and uploading invoices via API into Xero.
- Maintain Google Suite (Docs, Sheets, Calendar) for record-keeping and scheduling.
- Maintain and update inventory structures and pricing.
- Assist in general ledger (GL) cross-coding for financial accuracy.
- Participate in video training sessions for continuous learning on software and internal systems.
- Other role-specific duties as they arise.
Requirements
- Bachelor’s degree in Accounting, Business Administration, or a related field (preferred but not required).
- Minimum 3 years of experience in a financial administration role.
- Experience in manufacturing, construction, or project-based environments is advantageous.
- Xero experience (or willingness to learn with training provided).
- Proficiency in Google Suite (Docs, Sheets, Calendar) and Microsoft Excel.
- Familiarity with MRP software (Gojee), SharePoint, and Monday.com is a plus.
- Ability to work with various payment methods and reconciliation processes.
- Strong attention to detail and ability to identify financial discrepancies.
- Excellent organizational and time management skills.
- Ability to multitask and manage deadlines in a fast-paced environment.
- Strong communication skills for liaising with suppliers, customers, and internal teams.
