About the role

We are seeking a proactive and detail-oriented individual to join our team as a Summer Student – Branch Administrator at Samuel Son & Co in Pittsburgh, PA. As a vital member of our administrative team, you will play a key role in ensuring the smooth operation of our office environment.

Responsibilities:

  • Answer phones and greet visitors, providing exceptional customer service and directing inquiries to the appropriate department or personnel.
  • Provide general administrative support to the location, including but not limited to filing, data entry, and organizing documents.
  • Collect, compile, and summarize information as directed by management, maintaining confidentiality and accuracy at all times.
  • Route or respond to routine correspondence, ensuring timely and professional communication.
  • Schedule and coordinate meetings, managing calendars and ensuring all necessary arrangements are made.
  • Accept delivery of small parcels and notify the intended recipient promptly.
  • Maintain the reception area in a tidy and organized condition, creating a welcoming atmosphere for visitors.
  • Connect callers to the most appropriate department or contact, efficiently handling inquiries and requests.
  • Perform basic clerical tasks and undertake simple copy typing as time permits, assisting with various office tasks as needed.
  • Receive, classify, consolidate, and summarize documents and information, maintaining efficient record-keeping systems.
  • Order and maintain office supplies, monitoring inventory levels and ensuring adequate stock at all times.

Qualifications:

  • Currently enrolled in a college or university program, preferably in Business Administration, Office Administration, or a related field.
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Reliable and punctual with a strong work ethic.
  • Previous administrative experience or office internship is a plus, but not required.
