Definition of Class

This position coordinates the fiscal activities of a large or complex department, and provides operational and analytical support. The incumbent plans, coordinates and develops budgets and related processes; prepares administrative and fiscal reports; and ensures fiscal compliance for the department. This position exercises independent discretion and judgment in providing financial and administrative guidance and support.

Examples of Work Performed

  • Administer and oversee day-to-day fiscal activities including financial transactions (cash receipting and purchasing) for the Division.

  • Process, track, monitor, and ensure accuracy of cash reports and procurement items for the Division.

  • Review documentation and coordinate with Outreach units in order to process procurement transactions (includes Request for Payment, procurement card, and purchase requisitions) according to departmental and university policies and procedures.

  • Research and resolve discrepancies with accounting records.

  • Assist with administrative tasks such as managing correspondence and maintaining records and documentation.

  • Provide advisement on financial matters, such as spending and cash receipting policies and procedures.

  • Process personnel requisitions for the Division.

  • Approve student worker timesheets in SAP.

  • Support strategic implementation efforts by collaborating with departmental stakeholders to align operational activities with organizational goals and priorities.

  • Serve as a liaison between the department(s) and internal stakeholders, other departments, and external partners or vendors.

  • Provides recommendations on operational and administrative improvement opportunities.

  • Assist with regular reports and presentations on financial status for management.

  • Assist in the development and implementation of administrative policies, procedures, and guidelines to ensure compliance and best practices.

  • Ensures fiscal compliance with federal, state and University policies and procedures.

  • Performs similar or related duties as assigned or required.

Essential Functions

  1. Manages the business and financial affairs of a large or complex department.
  2. Prepares reports and financial statements.
  3. Assists with the planning for and preparation of contracts and/or grants.
  4. Ensures fiscal compliance with federal, state and University policies and procedures.

Minimum Education/Experience

Education:
Bachelor’s Degree from an accredited college or university in Business Administration, Finance, Accounting or a related field.

 

AND

 

Experience:
Three (3) years of experience related to the above described duties.

 

Substitution Statement:

Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
