About the role

We are seeking a Sr. Administrative Coordinator who will provide high-level administrative and project support to the department chair.  This position is highly visible and serves as the first point of contact for all constituents.  Must exercise independent judgment in the resolution of administrative problems, be punctual, be able to meet deadlines, and work efficiently while working in a fast- paced work environment in support of department faculty, staff and students.


Specific Duties & Responsibilities

  • Enhances chairman's effectiveness by supporting his roles on several high-profile committees with the President/Provost and Dean’s Offices by providing information management support, representing the executive to others. 
  • Prepare and edit correspondence, communications, presentations and other documents. 
  • Conduct research, collect and analyze data to prepare reports and documents to assist chair in preparing for monthly meetings.
  • Monitor, screen, respond to and distribute incoming communications. 
  • In assisting the department chair, candidate will coordinate and manage calendar, arranges travel and processes expense reports; prioritizes/triages phone messages from internal and external partners. 
  • Review operating practices for the front office and chair’s lab and implement improvements where necessary. 
  • Greets visitors; opens, sorts, screens mail; prepares agendas for faculty meetings, takes minutes as needed; prepares correspondence on behalf of the Department Chairman which may be of a confidential nature.
  • Process department’s accounts payables, including invoices, shopping carts, travel reimbursements and perform other financial related responsibilities as required. 
  • Candidate will independently coordinate weekly department seminars, annual faculty retreat, faculty recruitments and other special events; submit travel reimbursements for guests and lecturers. 
  • Work closely with the chair’s lab manager to manage all administrative aspects of the lab including sponsored and non- sponsored account reconciliations.
  • In assisting the department, candidate will be responsible for independently managing and maintaining the department website. 
  • Work with faculty, student and staff to write and produce content for the website and quarterly newsletter.
  • Management of email and database for alumni and work on special projects as needed. 
  • Candidate must understand the formal and informal departmental goals, standards, policies.
  • and procedures and is able to interpret and communicate operating policies to faculty and students. 
  • Carries out duties and responsibilities with limited supervision.
  • May perform duties of a sensitive and confidential nature.  


Additional Knowledge, Skills & Abilities

  • Excellent verbal communication, interpersonal skills and proficient writing skills.
  • Must have excellent organizational skills.
  • Experience working with Microsoft Office (Word, Excel, Outlook, PowerPoint and Adobe Acrobat)
  • Excellent communication and interpersonal skills are essential.
  • Must be able to prioritize and work independently and be detail oriented.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree.

Starting Salary Range: Min $21.00 - Max $36.50 HRLY ($55,000 targeted; Commensurate with experience) 
Employee group: Full Time 
Schedule: Monday to Friday: 8:30 am – 5 pm 
Exempt Status: Non-Exempt 
Location: School of Public Health
