The Office of the Executive Vice President and Provost seeks a Faculty Affairs Coordinator to join the Faculty Affairs team.  The mission of the EVPP Faculty Affairs team is to recruit, retain, and support our extraordinary faculty community by building resources and programs that support career development, enhance instruction abilities, promote scholarship and research, and provide opportunities for mentorship and collaboration. 

Purpose

The Faculty Affairs Coordinator will provide high-level administrative support for key Faculty Affairs priorities and processes, including promotion and tenure, endowment administration, and faculty reviews.

Responsibilities

  • Assist with the faculty promotion process. Review promotion dossiers for adherence to applicable policies and procedures and liaison with dean’s offices for corrections or updates. Serve as primary contact with deans’ offices for promotion review questions and issues. Prepare and distribute reports related to promotions to the Center for Access and Restorative Engagement (CARE), the University of Texas System Administration, and the Texas Higher Education Coordinating Board (THECB).  Maintain promotion data.
  • Oversee endowment administration, including endowment appointments and VIP updates, and faculty letters project. Consult with college and school representatives and the Office of Development on endowment matters of a non-routine nature requiring knowledge of applicable policies, laws, and procedures. Manage related Workday business processes.
  • Process and track requests for modified instructional duties, probationary period extensions, elections to combine service from prior institutions, special faculty assignments, and academic personnel data such as awards and counteroffers. Serve as primary contact with dean’s offices for questions and issues. Compile ad hoc reports.
  • Track faculty review processes including annual review, mid-probationary review, and comprehensive periodic review.  Provide administrative support for comprehensive periodic review of faculty administrators in the Provost’s Office portfolio. Serve as primary contact for online faculty activities system and with dean’s offices. Collaborate with dean’s offices to resolve system issues and improve overall functionality. Compile ad hoc reports.
  • Perform other related functions as assigned.

Required Qualifications

  • Bachelor’s degree and two years of experience in a human resources capacity.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple concurrent tasks and respond effectively within assigned deadlines.
  • Demonstrated ability to work effectively on a team and to work collaboratively with individuals at all levels.
  • Excellent organizational skills and attention to detail.
  • Ability to manage sensitive and confidential information applying sound judgment, tact, and discretion at all times.
  • Proficient with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Bachelor’s degree and more than two years in a human resources capacity in a university environment.
  • Experience working with faculty-related policies and procedures administered by a university. 
  • Demonstrated ability to work in a fast-paced environment, adapt to shifting priorities, and meet all deadlines and assignments.
  • Experience working with Workday, DEFINE, VIP, and Smartsheet
  • Demonstrated success in process improvement and implementation.

Salary

$65,000 + depending on qualifications

Working Conditions

  • May work around standard office conditions.
  • Repetitive use of a keyboard at a workstation.
