Our procurement team is a critical component in ensuring the that our manufacturing teams have the supplies to produce on time quality airplanes for our customers. Procurement roles are ideal for people who enjoy developing strong relationships, managing complex situations, and are very strategic. All our teams focus on different spaces in direct and indirect procurement.

 

About the Role

  •  Primary point of contact on any matter directed to the Vice Presidents of Procurement
  • Maintain multiple calendars to include but not limited to Vice Presidents, Procurement Organization, and Enterprise Directors
  • Coordinate travel arrangements domestic and abroad to include commercial and corporate travel via Concur
  •  Prepare and distribute confidential information to appropriate parties to include Leadership level Presentations, Program Directives, and memorandums
  • Negotiate and coordinate with Finance and Indirect Procurement to establish contracts with vendors on an Organizational level to ensure all short-term and long-term financial decisions made are kept within the respective budget
  • Foster and promote collaborative relationships with suppliers and various organizations within Gulfstream to drive operational efficiency and achieve organizational objectives
  •  Manage complex projects under pressure and leverage strong problem-solving abilities to overcome challenges in a fast-paced environment
  •  Assist with department personnel matters to include interviews and organizational structure design
  • Plan and coordinate events such as organization holiday events, round tables and luncheons


 

 

Education and Experience Requirements

High School Diploma or GED advanced secretarial training required. Associate's Degree Business Administration, office management, or related curriculum preferred. 6 years related administrative experience.

Position Purpose:

Under limited supervision, provides principal secretarial and administrative support to the Vice President. Maintains a close and highly responsible relationship with the activities of corporate officers and their staff, business unit managers, staff and employees. Performs a variety of activities, works independently, which requires considerable judgment, initiative, and knowledge of office functions and an understanding of the organization, programs, and procedures related to the work of the office.

Job Description

Principle Duties and Responsibilities:

Essential Functions:
  1. Serves as the primary point of initial contact on any matter directed to the Vice President; researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
  2. Maintains calendar of events and schedules tentative appointments without prior clearance, makes travel arrangements as instructed, and coordinates meeting schedules and assembles necessary background information.
  3. Prepares correspondence, memos, minutes, speeches, and special reports according to high quality standards and under demanding schedules and deadlines, may sign routine correspondence, varying details to suit circumstance, in own or supervisor name; route information to proper location.
  4. Prioritizes mail or other requests and submits appropriately.
  5. Prepares and uses confidential information dealing with matters of budget, employee performance, compensation, and operations as an important part of regular duties.
  6. Answers Vice President telephone and screens all calls, re-directing them when necessary.
  7. Provides point of contact for interface with various top-level executives inside and outside of Company. Also provides point of contact for business unit managers.
  8. Compiles data from information selected and extrapolated from different sources; prepares presentations/reports and answers requests according to general instructions.
  9. Establishes and maintains department files in an organized and timely manner.

Additional Functions:
  1. Plans and coordinates functions such as roundtables, luncheons, etc. .

Perform other duties as assigned.

  1. Ability to handle multiple tasks, use independent judgment and manage confidential information.
