Job Summary

The Manufacturing Administrative Assistant is responsible for coordinating labor schedules based on production requirements, processing vacation requests in accordance with company policies, maintaining scheduling and training records, and supporting training and continuous improvement initiatives. This position collaborates with multiple departments to help ensure operational efficiency and accurate workforce planning.

Duties and Responsibilities

  • Collaborate with HR, Quality Assurance, Warehouse, Maintenance, Operations, and other departments to support organizational goals and objectives.
  • Develop, maintain, and update labor scheduling tools to provide accurate and timely schedules that support manufacturing operations.
  • Process vacation requests in accordance with company policies and operational requirements.
  • Maintain knowledge of scheduling tools, technologies, and industry best practices.
  • Meet established deadlines for employee schedules, vacation requests, training records, and other administrative responsibilities.
  • Provide scheduling-related support and information to supervisors and operational leaders.
  • Demonstrate professionalism, integrity, accountability, and collaboration while promoting a positive team environment.
  • Maintain scheduling, training, and employment-related documentation in accordance with company policies and record retention requirements.
  • Maintain confidentiality of employee information and records.
  • Support training administration and continuous improvement initiatives as assigned.
  • May be required to work a flexible schedule based on business needs.

Qualifications

  • High school diploma or GED required.
  • One to two years of administrative, scheduling, manufacturing support, or related experience preferred.
  • Strong organizational skills with the ability to manage schedules, records, and multiple priorities.
  • Strong interpersonal and teamwork skills with the ability to collaborate across multiple departments.
  • Proficiency with Microsoft Office applications and other business systems and scheduling tools, including SAP S/4HANA, Redzone, or similar platforms.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality of employee information and records.
  • Ability to understand and follow facility policies, procedures, and work instructions.
  • Strong attention to detail and accuracy in recordkeeping and scheduling activities.

  • Able to handle sensitive and confidential information in a professional and discreet manner.
  • Demonstrated time management and organizational skills.
  • Ability to prioritize competing demands and manage multiple assignments simultaneously.
