About the Department

The Pediatric Medical Education Office (Comer Children's Hospital at the University of Chicago) manages and oversees all ACGME-Accredited training programs within the Department of Pediatrics, including the Pediatric Residency Program as well as fourteen (14) Pediatric Subspecialty Fellowship Training Programs in all aspects of education and accreditation requirements. Job Summary

The Fellowship Education Specialist oversees the continued accreditation and compliance for all accredited and non-accredited subspecialty training programs and their trainees within the Department. The Education Specialist must be competent and knowledgeable in all ACGME and Board requirements for programs/trainees and ensure annual reporting is submitted in a timely fashion. The role develops and implements programs in regard to operations of accredited and non-accredited fellowship training programs. Responsible for accreditation, duty schedules, evaluation, Match/recruitment process oversight, and orientation. Ensures compliance with regulatory bodies. This position requires a high level of organization to ensure each program, their trainees, their Program Director(s) needs, and the overall mission of the Medical Education Office are met. They supervise the Centralized Fellowship Coordinator(s) within the office in regard to process creation and implementation and works in conjunction with the Director of Medical Education, and the Director of Fellowship Training in the development and execution of new initiatives and/or programs.

Responsibilities

  • Lead the medical education office and programmatic leadership to develop and implement new systems and administrative policies, educational programs, and compliance/evaluation/accreditation strategies. 

  • Under the general supervision of the Director of Medical Education, Director of Fellowship Programs, and Associate Chair of Education, direct and oversee the accreditation and reporting activities of all accredited and non-accredited subspecialty programs within the Department. 

  • Maintain in-depth knowledge of all ACGME Program Requirements, keep abreast of any updates and implement changes to policies and procedures as needed.  

  • Maintain up-to-date knowledge of all Board Requirements (across specialties) for all subspecialty training programs; ensure trainees are meeting their scholarly expectations on an annual basis and Medical Education office is submitting all required tracking data on time. 

  • Oversee and direct ACGME new program applications, onboarding, and training of new program leadership (i.e., PDs, APDs), and ACGME site visits and/or self-studies. 

  • Oversee the creation and annual review of all offsite program letters of agreement across all subspecialty training programs.  Ensure Centralized Fellowship Coordinators are maintaining proper records and submitting updates when needed.  

  • In consultation with the Centralized Fellowship Coordinators, Fellowship Program Director(s), Associate Chair of Education, Director of Fellowships, and Director of Medical Education, develop and/or track the annual program evaluations and action plans for each academic year – submit all required documentation to UCM GME and ACGME WebADS, ensure follow-up, and track progress. 

  • Ensure proper tracking of quarterly compliance deadlines, semi-annual reviews, required programmatic committees, and semi-annual milestone reporting to the ACGME.  

  • Oversee and conduct internal program reviews as required by Medical Education Office and/or UCM GME/Finance in addition to overseeing preparation for external audits by the ACGME.
