The Florida Commission on Offender Review, formerly known as the Florida Parole Commission, is looking to fill the Administrative Assistant III – CS position. This position is in the Office of Executive Clemency. The Commission on Offender Review performs a vital role in Florida’s criminal justice system by preserving the autonomy needed in post-release decisions affecting Commissioners preside over weekly meetings at the central office in Tallahassee and various other state locations as required by statute. During these public proceedings, the commissioners make a variety of determinations regarding parole and other releases.

DESCRIPTION
This position assists the Coordinator in carrying out the mission of the Office of Executive Clemency as set forth, crafted, and designed by the Board of Executive Clemency. The incumbent is heavy relied upon and trusted by the coordinator to handle highly confidential and sensitive information.
EXAMPLES OF WORK
- The administrative assistant performs varied and extremely confidential work providing essential support relating to Executive Clemency by assisting in the processing and entry of the many steps to provide documentation in our records/database and notification to applicants.
- Preliminary Review Lists being sent to the board, assisting with the preparing, quality assurance and tracking of Executive Orders, tracking supply needs, and ordering yearly office supplies, ordering archived files, and maintaining the closed file room. Hands phone calls from previous, current, and prospective applicants for clemency. Prepares and maintains various excel tracking sheets.
- Prepares agenda for quarterly Clemency Meetings and sends out notices to applicants of the meeting dates. Notifies applicants and/or attorneys of final decision after Clemency Meetings.
- Responsible for updating database after Clemency Meetings. Assist in preparing executive orders for signature circulation to the Board members. Provides applicants and/or attorneys with copies of executive orders after Clemency Meetings.
- Interacts with Clemency Investigations to facilitate a smooth transition from initial application entry process to the investigative phase.
- Update information in the applicant’s file and/or clemency database.
- Assist with maintaining files, records, materials, correspondence, documents, reports, and other material pertaining to clemency applications. Requires ability to draft professional letters for dissemination to interested parties.
- Assist with processing; maintaining; and arranging for storage and retrieval of archived documents, records, and reports.
- Maintain and update the inventory of office supplies within the section.
- Assists with phone calls as well as handling research needed to handle complex questions that might have escalated from the initial OEC call takers.
