Position Summary

The project administrator is involved in an array of projects and multiple tasks related to Resource Management and Purchasing Services. The primary list is an example of tasks but is not exhaustive.

Job Description

Primary Duties & Responsibilities:

Support

  • Performs various tasks to support Contract Management team.
  • This includes
    • Analytical functions
    • Supplier proposal reviews
    • Custom report creation
    • Participates in external/internal meetings as needed
    • Reviews GPO contract data
    • Communicates with contract team, etc.

Customer Service

  • Responds to questions and requests from departments and suppliers.

  • Major emphasis on Marketplace Help Desk type services.

Special Projects

  • These are not routine and could vary by administrator:
    • Budget preparation assistance
    • Website updates
    • Newsletter creation and distribution
    • Works with Office of Supplier Diversity to identify business opportunities with MBE and WBE firms, SSJ collection and scanning
    • Maintains construction library documentation
    • Manages BAA process and documentation etc.
  • Marketplace and financial system functions:
    • Vendor file maintenance and set-up
    • Ship-to-code maintenance
    • Troubleshoots system errors
    • Tech fee monitoring and collection
    • Participates in new Marketplace releases
    • Runs financial system PO print process
    • Processes any special PO requests, etc.

Document Reviews

  • Reviews directed purchase and check request documents for approval as appropriate.

Reports

  • Prepares and/or reviews various report requirements such as:
    • Cost Savings Report
    • P-Card Spend Analysis
    • Spend Analysis Reports
    • Contract for Review Reports
    • Cost Reduction Report
    • Revenue Tracking
    • Grant Spend Data reviews
    • Reports submission to Federal Agencies, etc.

Performs other duties as assigned.

Salary Range

$23.37 - $36.19 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
