Senior Administrative Associate - Veterinary Software

IDEXX is seeking a high-performing, detail-oriented administrative professional to support the Vice President & General Manager of Veterinary Software. In this role, you’ll focus on enabling your executive to work efficiently and effectively, by expertly managing logistics, anticipating needs, and ensuring smooth day-to-day operations.
This role is ideal for someone who excels at execution, thrives in a fast-moving environment, and brings a proactive mindset to supporting a single leader. You’ll collaborate with a strong peer group of administrative professionals and contribute to key projects, meetings, and team operations.
In the role of Senior Administrative Associate IV:
Provide high-level administrative support to the VP of Veterinary Software with professionalism, discretion, and efficiency
Manage complex, high-volume calendars and proactively adjust for shifting priorities and scheduling conflicts
Monitor, organize, and manage the VP’s inbox, including flagging and following up on time-sensitive items
Coordinate travel arrangements, prepare expense reports, and manage Concur submissions
Support departmental meetings, town halls, events, and special projects with logistics and planning
Join key meetings when appropriate to stay ahead of deliverables and identify support opportunities
Act as a liaison between the VP and internal teams, helping ensure alignment and timely follow-through
Collaborate with a network of administrative professionals, sharing knowledge and best practices
Handle ad-hoc projects and requests with a positive, solutions-oriented approach
What Do You Need to Succeed
Minimum of 3 years of relevant administrative experience supporting senior leaders
Demonstrated ability to operate with a high degree of discretion, initiative, and independence
Strong organizational and project coordination skills, with keen attention to detail
Ability to manage multiple priorities in a fast-paced environment and remain calm under pressure
Proficiency in Microsoft Office Suite and experience using travel and expense platforms (e.g., Concur)
Excellent written and verbal communication skills, with professional polish and responsiveness
Comfortable with ambiguity and confident making decisions in the moment when direction is limited
Bonus if You Have:
Familiarity with SaaS, diagnostics, or biotechnology industries
Location: Candidates will be required to be on site 2 days a week at our headquarters in Westbrook, ME.
