This position supports both the accounting and payroll functions within the Accounting Department. Under the direction of the Assistant Accounting Manager, this position performs detailed accounting assignments, requiring general knowledge of accounting theory and principles. This position will also be cross-trained to support the administration, processing, reporting, and accounting related to a bi-weekly payroll for approximately 700 employees.

Essential Functions:

  • Ensure timely and accurate recordings of expenses, income, assets and liabilities by reviewing and monitoring internal controls.
  • Perform departmental adjustments and allocations for departmental accounting reporting.
  • Reviews and analyzes journal vouchers, accounting classifications and other accounting/financial statements, records and reports.
  • Perform month end close procedures.
  • Prepare entries for the month end close.
  • Prepare and maintain reconciliations submitted.
  • Reconcile the Loan and Share Accounting Process.
  • Perform Accounts Payable functions as needed.
  • Provide exceptional service to all Members, volunteers, internal employees and service providers.
  • Provide lead support to the payroll processing function to include employee payroll/timesheet records, reviews input for completeness, ensures payroll systems are correctly updated in a timely fashion, maintain centralized payroll/HR records, and oversees distribution of paychecks.
  • Advanced knowledge of a variety of payroll concepts, practices and procedures.
  • Ensures employee and HR change requests are correctly updated in the payroll system to include changes in wages, tax status, withholdings, deductions, direct deposit and all other aspects pertaining to miscellaneous changes.
  • Understands federal and state agency issues pertaining to employee compensation, general deductions, benefits and retirement.
  • Processes terminations, leave buyout, paycheck advance reimbursements, and involuntary deductions such as employee levies and garnishments.
  • Maintains the UltiPro database to include setting up accounts, add/edit/delete employees, resetting passwords, special pay codes, etc.
  • Organizes, reviews and submits forms as appropriate associated with federal, state and local authorities, such as W2’s and compensation records for the Department of Labor.
  • Researches, analyzes and resolves payroll-related problems or questions including investigation and resolution of questions and discrepancies in paychecks.
  • Partner with ERD with respect to employee incentive program (EPIP)/Merit process and makes appropriate recommendations to managers.
  • Train staff in the practice of reporting time electronically and communicate to management any changes in procedures.
  • Reconcile and prepare General Ledger accounts associated with Payroll.
  • Supports and provides back-up to the Payroll Specialist II.
  • Provides excellent service to employees.
  • May provide supporting documentation for examinations and audits.
  • Other analysis or reporting as requested by management.

Minimum Qualifications:

  • Knowledge of general accounting practices and principles.
  • Ability to communicate with various levels of management.
  • High degree of discretion required ensuring employee privacy.
  • High degree of professionalism.
  • Advanced knowledge in MS Excel, MS Word and MS PowerPoint.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with a diverse group of people.
  • Ability to effectively research and report data and issues.
  • Ability to organize, coordinate and prioritize a variety of activities simultaneously.
  • Ability to act independently and confidentially, using discretion and tact.
  • Ability to distinguish and manage confidential material and information.
  • Ability and desire to work in a team environment, and ability to work independently.
The ideal candidate has a combination of education and experience equivalent to an Associate’s degree in Accounting, Finance, Business or closely related
