Position Summary
The Business Operations Coordinator is responsible for supporting multiple business functions necessary to support Substation and Transmission Construction and Maintenance Operations. Including the management of all procurement and contracting functions, substation material and tools procurement, coordination and management, and substation construction and maintenance operational support.
Tasks and Responsibilities
Supports a variety of business functions necessary to support Substation and Transmission Business Operations.
Coordinate all Services and Commodities Contracts, including all requirements such as developing purchase requisitions, Request for Proposal (RFP), Purchase Requisitions (PRs) for services, parts, and materials, Scope of Work (SOW), Master Agreements, completes Evaluation Matrix and evaluates bids, and all other requirements necessary to develop new department contracts.
Monitor contracts for cost control and budget management and ensures contract compliance and participates in contract audits.
Prepares and distributes detailed reports for the status of all Contracts to include balance, spend, burn rate, expiration date, and reports directly to management and executive leadership.
Coordinate substation project material deliveries, inventory, and storage
Maintain substation spare equipment and parts procurement and inventory
Support the workforce transition and training to new digital platforms and business tools.
Support field workforce with procurement of required tools, parts, and materials.
Assemble and enter material data into the ERP and other databases
Review business records to ensure accuracy
Verifies, reconciles, and tracks contractor and 3rd Party payments.
Monitor strategic business operations processes and initiatives and identify risks and process improvements.
Monitor tool account budgets for spend and burn rates
Support process improvements through ERP workflows that accelerate digital transformation and operational excellence.
Ensure compliance with company standards, records management, and other audit requirements.
Drive operational business excellence by implementing process improvements.
Collaborate with cross-functional teams to execute business operations.
Serve as liaison between departments, vendors, and leadership teams.
Performs other duties as assigned.
Minimum Skills
Minimum Knowledge and Abilities
Entry-level experience in office management or business operations.Foundational Knowledge of Enterprise Resource Programs.Ability to complete complex tasks and meet goals and objectives with minimal direct supervision.Initiative to work independently or as a member of a team, coordinating with others to achieve desired results.Analytical abilities & customer service skills.Skills in Microsoft Office Package, including word processing, spreadsheets, database, presentation software, electronic mail and scheduling.Excellent Organizational Skills.Oral/written communication skills.Preferred Qualifications
Proficiency in material coordination and procurement
Knowledge of Substation equipment, parts, and materials
Knowledge of general construction practices and maintenance requirements
Experience in supporting Substation business operations
Ability to drive cross functional collaboration and change management
