Your Role

The Corporate Executive Assistant at Vantive plays a meaningful role on the team, providing exceptional administrative support to a C-Suite level executive and their leadership team. Partnering with key stakeholders, you will need to maintain professionalism, efficiency, communication, discretion, and independent judgment.  

In working with internal and external contacts you will deal with a wide range of sensitive issues under tight deadlines in a fast-paced environment.  The dynamic nature of this role requires that you have exemplary time management skills and the ability to identify and anticipate the needs of the executive. Interested candidates should possess strong leadership skills as this role demands a “take charge” mindset, the ability to manage multiple responsibilities efficiently, and make sound decisions to support our executive team effectively.

What you will be doing

  • Coordinate high-level executive support, including complex calendar management, travel logistics including air, ground transportation, hotels, visas/passports, and meeting coordination (on and offsite)
  • Manage the executive’s calendar including prioritizing, resolving related conflicts, and competing demands, proactively scheduling important meetings with internal and external partners, with a sense of urgency and the utmost confidentiality.
  • Support the executive in the development of influential, high-impact correspondence, reports, and presentations.
  • Process expenses and manage vendor invoices with accuracy and timeliness.
  • Manage department credit line for purchases. Apply and implement internal policies and provide training as needed.
  • Support departmental projects and project-manage/event coordinate departmental meetings and events which could include both in-person, virtual or mixed events with finesse and attention to detail including securing necessary equipment and supplies such as IT, video equipment, flipcharts, handouts, menu selections, etc.
  • Serve as a liaison between executives and internal/external stakeholders ensuring a well-organized, professional, and efficient work environment.
  • Employ advanced software skills to perform assigned work utilizing MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and other business-specific software, including corporate travel website and other programs with the ability to pivot to new technology and shifts in business priorities.
  • Uphold Vantive’s high standards of professionalism in both client-facing and behind-the-scenes responsibilities.

What you will bring

  • HS Diploma required; Associate degree or professional certification preferred.
  • 6+ years of experience at the Sr. Executive Assistant level.
  • Outstanding written, verbal and interpersonal communication skills; ability to interact with senior leadership internally and externally.
  • Excellent organization and project management skills; identify innovative solutions to complex problems; understand available resources and deliver on short notice.
  • Experience collaborating with global teams and internal/external business partners.
  • Must possess outstanding critical thinking skills, exercise sound business judgment; results and solutions oriented supporting a fast-paced frequently changing environment; ability to work independently and identify proactive solutions to sophisticated situations (especially when dealing with ambiguity)
  • Ability to act quickly and decisively in fast-changing, unpredictable situations, demonstrating keen anticipation skills, talent for grasping the big picture while tracking operational detail.
