We're looking for an awesome Administrative Specialist [Part-time/ Factional] to join our team on our journey to revolutionize personalized medicine 📈 

Job Description

Responsibilities:

• Manage day-to-day orders for laboratory and office supplies, including purchasing, tracking, receiving, updating, and invoicing

• Oversee inventory management

• Communicate with Portuguese and international suppliers to manage orders and invoicing

• Assist Senior Management and C-Level executives with work-related activities

• Prepare for work activities such as onboarding new employees, organizing events, and managing internal communications

• Maintain accurate and organized records

• Schedule and organize meetings for senior leadership, including document preparation and logistical arrangements

• Answer and respond to phone calls, relaying messages and information to senior leadership

• Coordinate travel arrangements for senior leadership

• Maintain various records and documents for the company’s senior leadership

Qualifications

Requirements:

• Fluency in English and Portuguese

• Excellent attention to detail

• Strong communication and interpersonal skills, with the ability to interact effectively with diverse backgrounds

• Diligent with a proactive, get-it-done attitude

• Ability to work in office

• Exceptional time management and organizational skills

• Proficiency in multitasking

• Solid understanding of computer software, including Google Sheets, Google Slides, and Microsoft Office equivalents

• Good problem-solving skills, able to address issues promptly during working hours

• Experience as a General Administration Assistant/Executive Assistant (Bonus: SMEs / Startups)

• Previous startup experience is highly appreciated
