What You'll Be Doing in the role of Administrative Assistant
This position works collaboratively with SVP, Community Development and the Community Development Senior Leadership Team to plan and execute the completion of assigned projects, streamline business processes, support the completion of special projects, including strategic, technical, budgetary, and operational items and communicates with both Komen staff and external donors, partners, and executive volunteers with excellent "customer" service.
This position also provides administrative assistance to include but not limited to: development and production of reports; coordination of meetings and travel arrangements; management of schedule and appointments; procurement process, expense reimbursements, creation of meeting resources including PowerPoints and other related administrative duties.
What You Will Bring to the Table
Responsible for department and senior leadership team meeting management including distribution of agendas, development of decks, taking notes and tracking action items.
Works with the senior leadership team to prepare for external stakeholder and partner meetings creating resources for the meeting, scheduling and tracking action items.
Collaborate with Project Director on maintenance and communication around project tracking systems for the department.
Responsible for coordinating board meeting, committee meeting and townhall presentations seeking development of meeting resources from across the department leadership team to meet timely deliverables.
Serves as proactive resource to assist with identifying, evaluating, and developing internal processes or procedures where technology can streamline operational efficiency, productivity, and/or reporting.
Receives and reviews incoming correspondence and information, determines importance, and responds to ensure that needed action is taken.
Maintain assigned calendars, coordinate, arrange, and confirm meetings, arrange travel and accommodations.
Conducts and prepares prospect research for donor meetings for ELT/SLT and provides meeting prep from Community Development team to SVP and CEO.
Must demonstrate the ability to handle multiple projects simultaneously and be able to meet deadlines while effectively managing priorities and communication process.
Assist with invoicing, accounting, reporting, and other administrative functions as needed.
Manages schedule, travel arrangements and expense reports for VP level and above in Community Development. Coordinates virtual and in person meeting meetings, including scheduling.
Ensures that related collateral materials are available at meetings as required for team meetings.
Serves as administrative support on assigned cross-functional strategic initiatives including but not limited to reformatting documents into our policy/procedure formats, proof reading, and documentation.
Performs other duties as assigned.
We Already Know You Will Also Have
A minimum of 5 years of experience in business operations and customer service.
Experience with multiple technology platforms.
Ability to support an overall strategic business plan, and effectively help manage the supporting budget(s).
Excellent organizational skills and ability to manage multiple tasks. Project Management experience a plus.
Capacity to work independently and with cross functional team members, to manage multiple projects with deadlines using effective time management and project planning skills.
Excellent written and verbal skills are essential.
Associate's Degree. Experience may be substituted for some of the education experience
