POSITION SUMMARY
The Lead Medical Assistant is a vital part of the healthcare team, responsible for overseeing the daily operations of the medical assisting staff while ensuring high-quality patient care and adherence to healthcare policies and procedures. This role combines clinical and administrative responsibilities and requires strong leadership, organizational, and communication skills.
The Native American Health Center is an accredited institution and adheres to the standards of excellence set forth by the Accreditation Association of Ambulatory Health Care (AAAHC) and the Commission of Dental Accreditation (CODA).
DUTIES & RESPONSIBILITIES
1. Leads the coordination of staff assignments and workflow as directed by the MA Supervisor. This includes acting as the point person for real-time communication with the care teams. This includes communicating scheduling changes and updates to all involved teams including Member Services; and communicating with the care teams about population health management efforts and alerts.
2. Under the direction of the MA Supervisor, takes a lead role with mentoring and training medical assistants and other support staff on varying MA-specific technical topics during meetings, new hire onboarding, and periodically as directed. This includes taking an active role in the MA Training Committee.
3. Become and act as an Epic Super User for the Medical Department within 6 months. This includes providing technical support on Epic workflows and training others as directed.
4. Supports the MA Supervisor implement new MA workflows and initiatives timely. This includes documenting workflows, training, shoulder-to-shoulder support and answering questions.
5. Supports MA Supervisor in ensuring daily and/or time-sensitive tasks are complete (e.g., Lab Open & Close, Periodic Tasks, Reminder Calls, Refills.).
6. Monitors daily/weekly inspections with items such as autoclave log test, autoclave log, Eye Wash Inspection checklist, log, etc. and reports inconsistencies immediately.
7. Actively scrubs provider templates for scheduling errors and ensures timely corrections are made.
8. Supports Care Pod with completion of recalls, reminder calls and care gap appointments.
9. Supports with special projects, as requested by direct supervisor or the Medical Executives.
10. Supports MA Supervisor with morning huddles and staffing board.
11. Act as point of contact, and delegate, MA assignments and Periodic Tasks.
12. When acting as a MA, refer to the Medical Assistant job description.
13. Participate in continuous quality improvement initiatives and incorporate feedback into practice operations. This includes monitoring of workflows and processes to sustains an audit-ready environment.
14. Supports the MA Supervisor with resolving Quest Billing Trailers.
15. Acts as a back-up to the internal Quest lab and performs phlebotomy, this includes blood test, EKG's, visual acuity, urine and hearing tests as indicated.
16. Works collaboratively with Care Pod MAs and Float MA(s) and helps direct daily flow of the clinic care pod(s) and supports with timely and complete rooming, vitalizing, phlebotomy, and population health management.
17. Supports the medical leadership team with maintaining a strong teamwork environment to meet department and patient needs.
18. Proactively monitors the following weeks’ schedule for any outliers, changes, and blocked times and works to fill schedules.
19. Constantly monitors the schedule for appointment availability, confirmed appointments, and appointments needing confirmation. This includes utilizing overbooking rights as deemed necessary.
