Senior Administrative Assistant - University Relations

Description
Southwestern University, located in Georgetown has an immediate opening for a Senior Administrative Assistant. This position will perform complex and sensitive administrative support for the staff in the division of University Relations. This is a full-time, fully benefited, non-exempt position who reports to the Vice President for University Relations.
Primary Duties:
- Provides event support, including attendee registration data entry, preparation of name tags and other registration materials.
- On-site management for University Relations campus and external events.
- Social media coordination, including creation of social media content in support of University Relations programs and initiatives on the Southwestern University Alumni Association LinkedIn, Instagram, and Facebook accounts as well as collecting and reporting social media analytics on a monthly basis.
- Prepare large mailings using mail merge programs.
- Filing, drafting letters and memorandums, answering phone, responding to email.
- Coordinate the batching process for some acknowledgment letters.
- Maintain the 3rd floor file room and create hard copy files.
- Financial processing, including vendor payments and contracts, reimbursements, credit card reconciliation, and AdobeSign facilitation.
- Office supply management including ordering of office supplies, marketing collateral, event materials keeping an inventory of all giveaways, and keeping the office storage space and workroom in order.
- Serving as secondary support to the Executive Administrative Assistant of University Relations.
- Creating alumni google accounts upon request.
- Supports various mailings to University constituents.
- Occasional website updates, as directed by program managers.
- Update Alumni Directory on a regular basis.
- Point of contact for general facility work orders for Cullen 2nd floor.
- Point of contact for Cullen 2nd floor breakroom.
Qualifications
Position Requirements:
- High School diploma or equivalent
- Five years of office/clerical experience.
- Excellent oral, written, and interpersonal communication skills.
- Proficient in Microsoft Office and Google Suite, Canva, social media platform, spreadsheets and database management.
- Ability to be flexible, adjust to fluctuating priorities, and produce a reliable work product.
- Excellent organizational skills and the ability to handle multiple tasks.
- Ability to attend work consistently, and work occasional evenings and weekends.
- Ability to work both independently and as a member of a team.
- Ability to adhere to the University’s core values.
- Possess knowledge, understanding, and acceptance of cultural differences and the diversity within the campus and community.
